Summary of Duties/Responsibilities: Assists the Army Substance Abuse Program

(ASAP) Manager in the development and formulation of administrative and management policies, procedures affecting the overall organization activities. Receives and relays incoming and outgoing phone calls and electronic messages by defining objectives, priorities, and deadlines. Prepares and processes TDY orders, authorizations and vouchers. As a Time Keeper Maintains time cards and leave requests for all personnel at the Automated Time Attendance and Production System (ATAAPS). In the absence of Drug Testing Coordinator (DTC) conducts urinalysis collection and all other administrative tasks. List of Accomplishments: In the absence of Social Service Assistant (SSA), GS-08, Served as the initial point for unscheduled individuals in crisis seeking assistance at the ASAP, supervising the client until clinical staff can meet with the client. Assisted 100% the ASAP Clinical division’s new program called “Advance Access Care” that is designed to treat high risk Soldiers immediately by dealing directly with walk-in patients prior to screenings, and ensured that the client completes the demographic information of the intake forms while I prepare their charts and labels. Contacted Commanders and 1SGs after they received Military Police (MP) blotters or a patient, he/she, is referred with DA Form 8003 in accordance with clinic policies. Maintained regular on-going face to face, written or telephonic contact with ASAP patients and their families, military members, commanders, counselors, physicians, civilians and Veterans Affairs (VA) inpatient treatment facilities, and other agencies on a daily basis to discuss/ensure the clients are getting their needs met. Developed and reported weekly ASAP Tracker to Commanders which contains stats of referrals, shows/no shows, group treatments which resulted in reducing 90% no show rate. Recorded of all contacts, and the facilitation for follow up discharge plans IAW Health Insurance Portability and Accountability Act (HIPPA) regulatory guidance. Actively involved with the client until the client is discharged from the program or the case is closed. Updated information to counselors. Coordinated the Rehabilitation Team Meetings (RTM) for all clinical ASAP staff and documents the date of each RTM in the client tracking data base. Called commanders, documented the discussion, and provided the information within two hours of the missed appointment to the primary counselor. Scheduled, recorded, and made certificates of the Prime for Life course twice a month. Found 60 unclosed cases from the file cabinet and informed to Clinical Program Manager to review and close them. This happened due to the absence of the clinical program administrative support for a year. Trained a new volunteer in the clinical program. Have knowledge of AR 600-85 (Army Substance Abuse Program), AR 40-66 (Medical Record Administration and Healthcare Documentation), alcoholism along with alcoholism rehabilitation principles, the 12 Step Recovery programs, Clinic Standard Operating Procedure (SOP), Patient Information Handbook, and ASAP Clinical Code of Ethics Manual. Composite Health Care System (CHCS) and Armed Forces Health Longitudinal Technology Application (AHLTA) program trained. Performed duties as administrative support, GS-07, on my own initiative in compliance with regulations of AR 600-85 and AR 25-50, policies, and Standing Operating Procedures (SOP). Prepared daily and monthly statistical reports such as Alcohol Management Information System (DAMIS) background checks for volunteers and civilian employees.

Prepared Risk Reduction Program (RRP) Reports monthly and documented in the CIP binders for 5 months during the absence of RRP Coordinator, GS-11, in the Casey Army Substance Abuse Program (ASAP). Collected Risk Reduction Program data from various sources via face to face contact, electronically, or over the phone and input them on the Defense Audit Management Information System (DAMIS), Education Training data input for Prevention Coordinator, and Resource and Performance Report (RAPR) on behalf of ADCO (Alcohol and Drug Control Officer. Collected and input data for the Installation Status Report (ISR) quarterly. Created and developed Urinalysis collection spreadsheets and Trackers. Developed a new ASAP webpage with all the current information and used my excellent computer skills to link all the on line ASAP education resources including PowerPoint presentation slides for the soldiers and UPLs (Unit Prevention leaders). This resulted in reducing 50 % of incoming phone calls and email traffics for requesting information on Prevention education, drugs and Drug Testing Program. Developed Military Police blotter trackers that greatly helped clinical program with reducing referral to ASAP and no show rates, streamer tracker which identifies 90 consecutive days Alcohol Related Incident Free unit, and DTC supply and daily collection Tracker that saves 20 % of paper use and other DTC supplies.

Possesses knowledge of computer programs; Microsoft Word, Excel Program, PowerPoint, publisher, Outlook, Drug Testing Program (DTP) full version and Drug Testing Program Light (DTP Light). Updates database and records of employees IAW Army Records Information Management System (ARIMS). Compiles staff meeting minutes, Reports statistical data to ASAP Manager, Clinical Program Manager and staff. Serves as an alternate Drug Testing Coordinator (DTC),GS-07, corrects errors of DTC data and reports such as 4% Urinalysis (UA) Turn In Tracker which shows past 5 months’ brief record and current month's data in one reporting page and DTC Installation Status Report (ISR) Tracker which shows all types test codes data and roll up which helps clear understanding. Moreover, develops a brilliant idea of multipurpose tracking form that saves time and money for the origination. The tracker shows numbers of units turned in weekly by different test codes, number of supplies provided to the units, how many were not test, how many were voided by DTC, and lab results collected dates which received positive feed backs from Unit Prevention Leaders (UPLs).

Provided technical advice to the conducting 100% urinalysis testing units which prevented any possible tampering, adulteration during the test and discrepancies. Collected urine specimen of 73 units and conducts quality control at the DTCP (Drug Testing Collection Point).

Reminded and encouraged commanders of failed to collect and or turn in weekly 4% IR (inspection random) specimens. Collected and updated Unit Prevention Leader/Commanders/1SG Contact Roster. Found huge errors on DTC administrative area, back tracked for 6 months of Urinalysis turn in certificates, and analyze the data. After correcting the errors trained the non commission officer and KATUSAs

(Korean Augmentation to the United Army) to assist DTC administrative duties accurately. Upon doing so Casey ASAP was able to provide 100% accurate report to the commanders.
