POSITION SUMMARY:

Under the direct supervision of the Vice President of Residential Sales and Marketing for The

Broadway San Antonio, this position provides administrative and secretarial support for the

Vice President and the Sales Department, as well as, assisting with sales of available

condominiums. In addition to typing, filing, scheduling, performs duties such as financial

record keeping, coordination of meetings and conferences, obtaining supplies, coordinating

direct mailings, working on special projects and is directly involved with corporate designated

events at The Broadway San Antonio. Also, answers non routine correspondence and

assembles highly confidential and sensitive information. Deals with a diverse group of

important external callers and visitors as well as internal contacts at all levels of the

organization. Independent judgment is required to plan, prioritize, and organize diversified

workload, recommends changes in office practices or procedures.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

Sales/Events: articipates with tours and prospective clients that are interested in The

Broadway San Antonio as a representative of the developer Koontz McCombs. Under the

direct supervision of the Vice President and with assistance from a Sales Associate, helps

qualify prospects and tours available units to customers.

Assists the sales staff with tours of the building with clients.

2. Assists in the coordination/facilitation of sales related events at The Broadway San

Antonio. Events are used as an opportunity to further progress sales of condominiums at

The Broadway San Antonio with the majority of these events hosted in the evening and

attendance by all sales staff is required when needed.

3. Cultivating relationships to further progress sales of condominiums at The Broadway San

Antonio.

4. Establishes, develops, maintains and updates sales database of prospects for Vice

President and sales department (currently ACT! Database for Real Estate).

Administrative/Secretarial: rovides administrative support to the Vice President of Sales

and Marketing and Sales Associate including high level secretarial support.

1. Schedules and organizes activities such as meetings, conferences and department

activities for all members of the sales team.

2. Performs desktop publishing. Creating and developing visual presentations for the Vice

President.

3. Establishes, develops, maintains and updates filing system for the Vice President and the

sales department. Retrieves information from files when needed. Establishes, develops,

maintains and updates library of trade journals and magazines.

4. Organizes and prioritizes large volumes of information and calls.

Answers phones for The Broadway, San Antonio sales office and Vice President.

Takes messages or fields/answers all routine and non routine questions. Works in

cooperation with Sales Associates to cover phones Drafts written responses or replies

by phone or email.

5. Works independently and within a team on special nonrecurring and ongoing projects.

Acts as project manager for special projects, at the request of the vice president, which

may include: planning and coordinating multiple presentations, disseminating information,

coordinating direct mailings, creating brochures.

6. Types and designs general correspondences, memos, charts, tables, graphs, business

plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate

changes. Responsible for accuracy and clarity of final copy.

QUALIFICATIONS/SKILLS & KNOWLEDGE REQUIREMENTS

• Work requires an extensive knowledge of business and an excellent command of the

English language.

• Must have knowledge of secretarial, office administrative procedures, and knowledge

of use and operation of standard office equipment, at a level generally acquired

through 1+ years related experience.

• Must have knowledge of a variety of computer software applications in word

processing, spreadsheets, database and presentation software.

• Must have high level of interpersonal skills to handle sensitive and confidential
