The Administrative Assistant manages department office activities, provides secretarial and administrative support to a manager or department, and utilizes computer knowledge to solve business problems, enhance operations, and to identify opportunities to improve the department.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
1.Provides secretarial and administrative support to management staff or department by typing and editing correspondence, filing documents, scheduling appointments, and answering telephone.
2.When appropriate, answers caller’s questions and provides requested information as necessary.
3.Acts as office administrator to order and stock supplies, perform record-keeping and/or cash reconciliation activities, act as liaison to other departments and/or vendors, take minutes at meetings, and perform quality management functions as necessary.
4.Prepares department and committee minutes, agenda, and coordinates other meeting materials in a timely manner.
5.May be responsible for basic payroll or timekeeping activities, human resources paperwork, and/or database record maintenance as necessary.
6.May serve on special projects, committees, or act as manager or department representative as necessary.
7.May perform other department-specific duties such as filing documents, filling in for other staff members, and other assignments as appropriate.
MINIMUM QUALIFICATIONS
High School Diploma or equivalent required.
Two (2) years experience in an administrative/secretarial role, customer service, or business office.
Demonstrated verbal and written communication skills, demonstrated organizational skills, and demonstrated customer service and interpersonal skills.
Demonstrated skill at typing 50 error-free words per minute.
Personal computer skills including Microsoft Word, Powerpoint, Excel, and other Windows-based applications.
Bachelor’s Degree in Business, Healthcare, or related field preferred.
Previous healthcare experience preferred.
Required in clinical areas: Must be able to successfully pass the Basic Windows Skill Assessment at 80% or higher
