Work Experience:

Worked with M/s. P.B Systems (India) Pvt Ltd. since May 2005 to Sep 2013. Its a U.S. based corporation

operating state of the art offshore technology centers. We provide Software Engineering and Quality Assurance

Testing services, enabling cost savings to our customers. I am designated as Senior Administrator and reporting to

Director. I am responsible for overall HR, Accounts & Payroll activities of 500+ employees.

Current Job Assignment / Responsibilities:

Post Recruitment

Maintaining HR Spoc position for over 450 employees and taking care of entire life cycle management.

Taking care of joining formalities – Document verification & Personal file preparation.

Conducting & coordinating induction programs for All New Joinee.

Explaining the KRAs to the new joiners.

Receiving and tabulating the induction feedback.

Statutory Compliance

Coordinating and maintaining statutory records.

Maintaining overall attendance, leave management and grievance related matters.

Taking care of the need of Statutory Compliance as per the company need ( like Contract Labour Act, PF,

ESI, Professional Tax)

Office Administration

Facilitating support; coordinating with corporate events.

Fixing of Rate Contracts; maintaining proper Vendor Management and processing bills.

Reducing costs and agreement according to the specified processes.

Managing travel; imparting training and other facilities coordination.

Monitor and reduce admin expenses

Devise methods for optimum use of resources.

Supervise the admin issues along with admin executives reporting to me.

Payroll Activities:

Processing and monitoring Payroll of the employees,

Preparing monthly salary of 500+ employees.

Preparation of salary structure of new employees as defined in HR policy.

Computation of arrears (Changes in CTC / previous month adjustments etc.)

Calculation & payment variable pay out as per HR policy (Performance Bonus / Loyalty Bonus / Referral

Bonus etc.)

Maintaining & tracking records for salary part reimbursements of 150 employees, considering recovery of

FBT factor of the same.

Preparation of Full & Final settlement (calculation of leave encashment as per HR policy / calculation of

gratuity / adjustment of loans & advances / notice period recovery / other recoveries etc.)

Calculation, deduction & deposit of EPF & ESIC contribution.

Filling of monthly & yearly EPF returns & half yearly returns of ESIC.

Taking care of calculation and deduction of TDS on salaries and filing of quarterly E TDS returns &

Issuance of Form 16.

Taking care of employees’ queries relating to tax matters.

Processing Full & Final Settlements for all left employee during the timelines,

Providing timely resolution of employees payroll & reimbursements related queries and advising

employees in defining their salary structure and also advice to employee in reducing their Income Tax

Liability,

Advising associates on personal tax and investment planning,

Ensuring availability of PAN (Permanent Account Numbers) for all Payroll Employees,

Responsible for checking validity and correctness of investment proofs submitted by employees for Income

Tax waiver,

Coordinating with Finance department for timely payout of monthly salary, reimbursements and other

payments,

Responsible for providing timely and accurate various reports to the management in prescribed format.

Processing all salary related Reimbursements like Medical, Fuel & Maintenance, LTA etc,

Processing Full & Final Settlements for all left employee during the timelines,

Resignation & Attrition

Carrying out the release formalities.

Strictly following the Exit Policy of the Company for Full & Final Settlement.

Generating attrition analysis reports on a monthly basis and as and when required.

Initiating and implementing retention strategies.

Proper Checking & Monitoring the Handing over formalities of Resigned Employees.

Handling no dues clearance; Exit Interview and Processing for F&F and Co ordinate with H.O. for Dues

Settlement.

Attrition analysis and pioneering talent engagement initiatives to manage and reduce employee attrition.

Accounting Activities:

Handling various day to day accounting activities i.e. Purchase and expenses accounting, issue of debit &

credit notes, liaisoning with banks for handling routine bank transactions.

Taking care of monthly bank reconciliations & vendors’ reconciliation.

Maintenance & Updating of Fixed Assets Register.

Preparation of monthly budget and comparing with actual figures to ascertain the variance.

Setting the turn around time for payment to vendors and following the timely payments with in turn around

time.

Taking care of Transfer Pricing matters.

Assessing and filing of Service Tax return and taking care of service tax refund matters.

Coordinating with internal auditors for conducting quarterly internal audits and monthly payroll audit.

Timely filing of quarterly E TDS returns in compliance with Income Tax Act; issuing of TDS certificates.

Calculating & timely deposit of Advance Tax & Fringe Benefit Tax.

Filing Monthly Progress Report (MPR) and Annual Progress Report (APR) with Software Technology Park

of India (STPI).

Filing Softex form for complying provisions of Software Technology Park of India (STPI).

Maintaining/ Handling Petty Cash

Taxation:

Compiling TDS details of all branches, calculation of TDS liability and deposit the same on monthly basis.

Ensuring timely assessment and filing of E TDS returns in compliance with Income Tax Act; issuing of

TDS

Certificates & keeping the track on TDS deducted by customers and timely collection of the certificates.

Calculating Service Tax liability and deposit the same on monthly basis; assessing and filing Service Tax

return in compliance with Finance Act.

Calculation & timely deposit of Advance Tax & Fringe Benefit Tax.

General Administration:

Handling of Annual Maintenance Contracts for Computers / Photocopier / Fax machine / Water coolers /

Air conditioners / Water purifiers / Generator and Attendance punching machine.

Responsible for the entire housekeeping of the office as well as ware house area.

Responsible for assets management.

Responsible for entire transport management and related activities i.e. Company’s owned vehicles & taxis

from outside agencies.

Supervision and controlling of Reception & EPBX boards (24 X 7), mobile phones and security services.

Visa Processing and Travel Management :

Fixing appointments with the Consulate AND Coordinating for the Visa Processing.

Maintenance of Passport & other relevant documents,

Getting the required documents from the Travel Agents, booking tickets for the candidates, preparing

demand draft etc.

Arrange for the Travel Guard Insurance and Maintenance of the Travel Expenses.

Arrangement for the Forex purchase

Maintaining all the confidential correspondences received related to the process.

US IT Recruiter:

Having good experience in end to end IT recruitment and have extensive knowledge on working

with direct clients.

Able to use Job portals/ Job boards extensively and efficiently.

Possess a good level of experience to deal with candidates/Vendors professionally and negotiate
