Professional Experiences

Serves as a office manager for the Associate Chief Counsel. This includes inputting data

into a complex automated case tracking systems; establishing, maintaining and closing

out case files; annotating indices and status records; compiling workload and status

reports; and locating abstracting data from files and records.

Initially process tort and employee claims for review, check them for required information

and acceptable form, and identifying whether substantiation letters must be sent to

claimants.

Reviews legal documents prepared in the office for form, conformity with office policy and

procedure, spelling grammatical accuracy, etc., checking citations and quotations, and

verifying dates and figures and other factual information. I may either send questioned

material back to the preparer for revision or make it for the close attention of the

appropriate Associate Chief Counsel.

Ensures that other necessary policies and procedures are established and maintained to

track and coordinate important legal work. Ensures that regional attorneys assigned to

handle case before the Federal Courts received from Headquarters all this regard, I

established practices and procedures to coordinate an appropriate Bureau response,

making certain that the attorney overseeing the case at Headquarters is kept apprised of

all significant deadlines and submissions.

I read all incoming correspondence; reports, official releases and publications, screening

out those items which can be handled personally, and forwards rest to the Associate Chief

Counsel or the appropriate staff attorney or paralegals. Personal actions take include

drafting replies to general inquires, and relaying instructions to staff attorneys and

paralegals, preparing reports, or otherwise acting on requests involving requirements of an

administrative nature.

Responds to inquiries and administrative problems brought to the Associate Chief

Counsels by the members of the staff and Bureau officials, Main Department of Justice

and other Federal agencies. I notifies the appropriate staff of the need for information or

recommendations, and either prepares the response of follows up to ensure a timely

response by others.

I assembles and summarizes information required by the Associate Chief Counsel from

source material on the basis of general instructions; informs the Associate Chief Counsel

on matters involving procedures such as in the clearance of memoranda, reports, etc.

I receive all visitors and telephone calls to the Associate Chief Counsel. I screen calls by

determining the nature and purpose of the call, and refers calls not requiring an Associate

Counsel’s attention to other staff members or handles the matter personally. I exercise

tact and discretion in giving information of a general or procedural nature. When calls

must be referred to the Associate Chief Counsel, I furnish the Associate Chief Counsel

with information readily obtainable to aid in the discussion.

I maintain the Associate Chief Counsel’s daily calendar, making appointments and

arranging meetings and telephone conference calls without specific prior approval, based

on knowledge of the Associate Chief Counsel’s schedule. On my own initiative makes

arrangements for such meetings by reserving space, setting the specific time, and

contacting all personnel expected to attend. The incumbent transmits agenda and all

necessary background material to participants and advises them of the topics to be

discussed. Ensures that the Associate Chief Counsel is fully informed on mattes to be

considered before the scheduled conference.

Input and review the preparation and submission of the Time and Attendance for the

division for accuracy.

Resolves administrative problems based on knowledge of the substantive programs of

the office, and recommends changes in the administrative policies practices and

procedures of the offices.

Is fully responsible for arranging the travel of the Associate Chief Counsels, making all
