I am seeking a full-time office management, accounting, administrative or project management assistant position which will allow me to

My primary career experience in Southern California has been as an office manager and bookkeeper in the fire protection subco ntracting

industry; however, I also have office management and bookkeeping experience in the general contracting, other subcontra ctor trades,

transportation and real estate appraisal industries with administrative assistant experience in an engineering department of a major

healthcare facility. I have been employed by large, small and MBE certified corporations and have reported directly to owners, officers,

COMMUNICATION:

•Accurate, complete and concise composition of written correspondence, including recording of meeting minutes.

COMPUTER SKILLS:

•Operation of accounting software programs (i.e., QuickBooks & QuickBooks 2012 Premier Contractor Edition(s), Great

Plains, COINS, Freight Manager, The American Contractor, ComputerEase, CGC/AS400), MS Project 2010, Word, Excel,

Outlook, TMS, Pathlore, Kronos, Constructware, Internet and 10 -key. Typing speed: 70+ WPM, with accuracy.

ACCOUNTS RECEIVABLE MANAGEMENT (INCLUDING MULTI-DISTRICT A/R MANAGEMENT):

•Contract progress, final retention and time & material billings. AIA (G702 & G703), schedule of values, affidavit, conditional,

unconditional, progress and final release preparation and submittal.

•Change order billings, pricing, processing, tracking of pending requests for change order.

ACCOUNTS PAYABLE:

•Daily vendor invoice input/verification, cash disbursement and maintenance of accurate accounts payable age.

•Monthly and Quarterly California State Board of Equalization Sales Tax calculation, reporting and payment.

•City business licenses, various IRS forms, fleet and vehicle registration processing and annual insurance audits.

GENERAL LEDGER ENTRIES:

•Journal entries (i.e., recurring charges, loans, etc.), monthly bank, credit card and petty cash reconciliation.

PAYROLL AND HUMAN RESOURCES:

•New hire, background checks, drug screening, security clearance, payroll (union and non -union), certified payroll,

wage assignments/garnishments, OCIP/AON reporting, 1099 preparation, employee insurance benefits, 401k, workers’

compensation reporting and safety (written safety policy preparation for compliance, trade and site specific, pursuant to

Title 8, Cal OSHA/Fed OSHA and current insurance underwriter requirements).

PURCHASING:

•Construction materials (fire protection), construction equipment rentals/purchases and office equipment/supplies.

Generation of RFQ/RFP and issuance of subcontract purchase orders to outside vendors and subcontractors.

SALES/OPERATIONS (public and private sector customers and projects):

•Bid request/job walk coordination, assisted project managers with preparation of quotations for new construction,

tenant improvements and inspection/testing (i.e., NFPA 25, 72) and repair projects. Tracking of addendums/RFI's

and completion of customer pre-qualification documents. Assisted with project scheduling through completion.

•Processed contract agreements through full execution, including any required supplemental contract documentation.

•Submittal of design drawings to Local Authorities Having Jurisdiction for approval through permit. Inspection

scheduling with field personnel and Local Authorities Having Jurisdiction (fire departments, water purveyors,

building and safety and public works departments, including the California State Fire Marshal, OSHPD, contract and

independent cities).

•Project closeout documentation submittal (as-built drawings, O&M’s and warranties).

•Coordination of foreign and domestic travel.
