Position Overview
As the Document Controller it was my responsibility to manage and coordinate the document control function
for all programs and report back to the Project Manager. This included leading a team of document controllers,
managing relationships with project teams and external contractors and coordinating and/or undertaking a
variety of audits for the program.
The position also provides significant input into the development, implementation and management of quality
assurance systems and processes.
The position was to develop and maintain effective relationships and consultative processes with a wide range
of stakeholders, including senior, professional and technical personnel within and external to the Agency, to
ensure clarity of expectations and constructive feedback.
• Ensure that systems are in place to obtain design, commercial and technical specialist review and sign-off of all
project documentation.
• Establish quality review procedures and undertake ongoing assessment and revision to ensure timeliness of
correspondence, accuracy of information and integrity of storage.
• Provide direction and support to the team of over 60 users of the system and support to document controllers.
• Provide project support for the Document Control systems and oversee Document Control activities.
• Coordinate technical documentation and systems for data input, expediting and generation of reports in
accordance with the project requirements.
• Monitor to ensure all documentation processes, including the electronic document management system, are
efficient and timely.
• Liaise with management, contractors, consultants and all levels of staff across the programs.
• Provide leadership in quality assurance workshops and meetings with relevant stakeholders and ensure that
identified improvements are completed in a timely manner.
• Coordinate audits in accordance with the programs, as required, effectively managing relationships with auditors,
undertaking the more complex audits and providing significant input into the development of an ongoing rail
audit programs.
• Implement the version and security management regimes.
• Oversee the filing of drawings, drawing transmittals and produces current registers.
• Manage the induction process to ensure comprehensive documentation is completed for all new project
participants.

A three-month contract, setting up Aconex throughout the Adelaide Rail Revitalization group. A task
more a tuned to setting up the processes and procedures to facilitate the smooth running and
implementation of a new software system into the organization. It also covered the numbering
convention to be used throughout the organization for consistency over road, road signaling, rail, track
and stations, trams and its overhead lines and buses services in the metropolitan area.
As the supervisor to 5 document controllers it was my role to give guidance and mentoring to the
group through what was a challenging time. Each document controller run their group individually;
track, rail, electrification, signaling and stations so QA checks and balances were meet.
