Warehouse

What

Sales people use this section to see what used equipment is available to sell. Currently USA wide use.

How

General Users browse the available used equipment to sell to their customers. If they see something

they could sell then they can place the equipment on Hold under their name and try to sell it. The

Mainframes that were available to be put on Hold by Sales people were added to the system by the

Warehouse admin.

Why

The original issues came from the Pacific West region and was something like: We have too many

sales people trying to sell the same equipment to different customers at the same time. We need to

stop this silly emailing of Excel files and get this online to put a stop to this huge flaw in our practice.

Loaner Pool

What

When customers need a loaner piece of equipment (because there equipment is being serviced),

Admin users can pick what's available to loan to customers from their pool of loaner equipment.

Currently USA wide use.

How

Admin users use a simple form to keep their loaner equipment data up to date.

Why

The warehouse personnel asked for a better way to keep track of their loaner equipment. Especially

when it was out at the customer’s site but not to exclude the fact that there are 6 Admin users of this

Loaner Pool in the Pacific West region alone that can now see instantly what is available without

needing to email and/or call each other.

Trials Log

What

Admin users use this Trials section to keep track of equipment that is out at the customer's site.

Currently USA wide use.

How

Admin users use a simple form to keep their loaner equipment data up to date.

Why

I wasn’t really told why they needed this. Just that they did. My guess is that they wanted a way to

keep track of the new equipment out on trial while letting sales people have visibility of what was

going on without needing to pick up the phone. This was created after the Loaner Pool and from the

Loaner Pool’s success I think they saw that they could extend the power to the Trials Log.

eManager

What

Consumable (Toner and Ink) Sales people use this section to create quotes and ordering for

customers. Plus with eManager the Consumable Sales people can easily make their own Shopping Cart

for Billable Customers to use to place orders for supplies. This system also keeps track of the

customer’s order history.

How

The same simple forms for the data. The Consumable Sales people build a Quote or a Shopping Cart

and send the unique link to their Customer. The customer then reviews the Quote and gives the

business to Ricoh or places an online order for supplies to their assigned supply rep.

Why

There isn’t a good way for Consumable Sales people to make a Supply Quote. I heard there was

something but it’s not good. There is nothing that I heard of that allows Billable customer to place

orders for supplies directly to their Consumable Sales person.

Calendar

What

This is where Admin users in the USA can post events (for their area only) to their users. This is also

used to trigger Soft Close dates for Sales people. Aside from using this calendar to note company

holidays, popular uses of this calendar are to post things like management vacations and last minute

warehouse changes. I removed the "Annual" checkbox because everyone used it for Birthdays. I

moved the extremely popular Birthdays to the Org Chart.

How

Simple form for Admin users to use to plot out events directly to their users.

Why

Fulfilling a need to have notifications actually get to users without broadcast emails and of course

without being buried amongst everything else the users get notified about.

Org Chart

What

An organization chart used updated by all employees including managers. This provided a great

resource to the receptionist for directing customers to the proper person or escalated to the proper

manager. I also tied Google Maps in to this to plot office locations and QR codes for easy smart phone

calling. Currently USA wide use.

Why

Originally there was nothing else.

How

Simple forms for the data. One click view of managers and their teams and manager's manager. Easy

data filter to show only certain offices, departments, regions, etc.

Team Room

What

This Team Room has a few more features than the one in Lotus Notes Email and is used to keep

everyone on the team up-to-date on what everyone is doing. Surprisingly, a popular use of this is for

pot-luck parties.

How

Simple form to create a Room then a single dropdown to select the participants.

Why

Needed a faster and a more up-do-date way to keep management in the know. Something way faster

than weekly meetings.

RSS

What

These feeds are automatic by all USA Warehouse Admin. I use this to notify users of new features to

the Socal site too. RSS feeds only monitor My stuff, Used Equipment, Org Chart, and Voting Booth. All

but mine are automatic.

How

Admins don’t need to do anything to post RSS feeds (they are automatic). Viewers of the RSS feeds

simply copy and paste the RSS link they are interested in into their RSS reader.

Why

Fulfilling the need to know what’s new without having to log in to the site.

Lost & Found

What

A way to post lost and/or found things instead of broadcast emails.

How

Simple forms to post what was found or lost and update if the item was returned.

Why

This was one of my ideas but everyone in the IT department agreed. The IT department isn’t even

close to the main building but when something gets found or lost those people send emails to “All

Employees” (Broadcast emails) not understanding that 95% of the recipients of those emails don’t

even work near their building. Plus since more things are found days after they’ve been lost and those

Broadcast email have since been trashed, a more reliable method was needed.

Voting Booth

What

I used it to get an idea if a new suggested feature to a section was liked by everyone before I made a

change.

How

Simple forms to fill out to describe what’s on the Ballot and a choice of who/which department/which

region can vote on it.

Why

Sometimes I get one user that has a great idea for a change that turns out that the rest of the 2500

users don't really like or want it. Then I would have to change it back. This is how the Voting Booth

idea came about.

VMV Suggestion Box

What

An anonymous suggestion box for all users to send their suggestion to the VMV Ambassadors in their

area.

How

A simple form for users to fill out. The data then gets emailed to the few Ambassadors out here in CA.

Why

The VMV Ambassador asked for it.

(This only shows under California logins, the rest of the USA sees nothing)
