keeping the daily log of visitors entering each warehouse location

tracking & control inventory checks. Prepare various tracking reports for

management use including receiving, tagging items, locating items and

Drawing Office, Document Control, Records Management

Responsible for the ordering, cataloguing, circulating, updating and

administering all technical reference material, standards, acts, codes,

periodicals and reports, within the Engineering and Construction, Technical

Reference Library. Responsible for circulating, updating and maintaining

the reference copies of specifications and contract drawing books including

addenda, "Issued for Construction" versions and contract changes.

Responsible for the administration, processing and retention of all

records.

Permits Coordinator

Responsible for coordinating third party issues that impact the design and

construction. Assist project staff to obtain various regulatory approvals

from third party agencies, and third party permits/agreements such as those

required for geotechnical work, above ground facilities, construction

contracts, etc. Establish and maintain a matrix of third part issues

impacting the Program/Project; liaise with the Environmental Assessment

Compliance Coordinator as appropriate for ensuring proper and timely

coordination of third party issues; and liaise with third party agencies.

Coordinate the submission of site plan approvals. Assist in the conducting

pre/post constructions surveys, prepare commission and other reports, and

will assume other related responsibilities.

Project Coordinator

Responsible for track site instructions, handle request for change orders,

responses on site instructions and advise both the project manager and site

manger. Monitor and update project schedule. Coordinate permits, issued for

construction drawings and permit set of drawings. Participate in tender

process. Assist the project manager with all project administration tasks

Prepare and coordinate project close-out documents.

Material Control Lead

Reports to the Project Procurement Lead for coordinating communications and

tasks related to the logistics of project materials, with a dotted line

reporting to the

Project Construction Manager for the day-to-day work requirements at the

project site. Responsible for the coordination of project materials flows,

storage and distribution in accordance with company policies and

procedures. Includes, Review of the initial master schedule to ensure that

equipment and materials will be available in support of construction

requirements, meet the required delivery dates, Monitoring of delivery

progress against the schedules, confirm material availability, Ensure

materials related activities in the project execution plan are performed in

the right sequence, coordinates activities with Project Expeditor,

Inspector, Transit warehouse personnel, site warehouse personnel, to ensure

uninterrupted and well-planned flow of the project materials. Plays a role

of the central communications point for all parties, makes arrangements for

any special project requirements, ensures storage requirements, directs

activities of the Project Materials Coordinators at the project site,

responsible for the effective set up and management of the project

warehouse and/or lay-down area, ensures procedures for receiving, storing

and shipping, inspects shipments on arrival to the project site and

documents any deficiencies, and coordinates claims resolution with the

Procurement Lead and Contracts Administrator, establishes effective

control, flow and filing of documentation for all aspects of the project

materials management process, ensures effective inventory control and

timely reordering of project consumables, responsible for disposition of

left over project materials and equipment.

Administration Support

Direct clients and visitors to the appropriate staff member, coordination

with proposal set ups, receiving & distributing internal & external mail,

prepare, distribute and sign for ingoing and outgoing courier packages,

Assist in the planning and preparation of meetings, conferences and

conference coordinate operations meetings, raise purchase orders

requisitions, maintenance supervisor and others at the site office and

manage receipt of goods and services and provide administrative support to

the Facility Manager and others at the site office (training, expense

reports, travel arrangements, time sheets, filing, etc.), assist Facility

Manager with budgeting, reporting and tenant relations including the

preparation of the Annual Budget, preparation of letters, presentations and

spreadsheets as required, as well as the preparation of monthly open

purchase order and outstanding invoice reports, maintain and update

employee, tenant and vendor contact lists, emergency contact lists,

training record and database, vacation/sick leave requests tracking

database, ensure ISO compliance and maintain office records in accordance

with the QMS guidelines. Manage local office requirements, raising IT

requests, and work with IT to resolve office computer, fax, photocopier,

cell phone and regular phone issues.
