Divisional Budget Coordinator:
• Budget allocation monthly for two ministries;
Retrieve reports from IMAGIS for budgeting;
• Budget forecasting for department;
• Entering in monthly information into excel spreadsheets;
• Receipt of invoices for department and processing same;
• Procured phones, laptops for the office through the Municipal Affairs SRC system; and
• Prepared and open outside counsel files and review statement of accounts, prepare to send to another government department for processing and payment.
Legal Assistant:
• Research FOIP requests, prepare documents and submit worksheet and findings for three ministries;
• Prepare AR documents for three ministries and forward to lawyers, prepare any and upload new documents in ARTs;
• In contact with the assistants to each department within various ministries dealing with AR submissions;
• Prepare and submit Exclaim expenses for my lawyers and also keep for budgets each month;
• P-card transactions for the office – prepare p-card allocation for budget and also purchase goods;
• Preparation and/or drafting of court documents with assistance of counsel with the namely documents – Memoranda of Fact and Law, Notices, Motions, Orders, Books of Authorities, Subpoenas and Affidavits;
• Work with files arranging documents to be filed with the appropriate court and arrange for service of documents with opposing counsel or parties;
• Liaison with courts, clients, agents, unrepresented parties, opposing counsel, and police officers or Government Officers to obtain and relay information or documents relating to a file;
• Arrange for travel/accommodations/vehicle and prepare travel claims for both counsel and witnesses either online with EMT program when I worked at PPSC, by filling out forms or calling and booking arrangements over the phone with various companies;
• Preparing and editing disclosure to opposing counsel or party;
• Retrieve legislation, caselaw and judgments from various electronic databases such as Quicklaw, Legal Knowledge Network, Supreme Court website or research and prepare hard copy text;
• Arranging court dates with judiciary, trial coordinators and opposing counsel;
• Maintaining and updating prosecutors/lawyers Outlook email and calendar;
• Reservation of facilities, equipment and material necessary for meetings and examinations;
• Maintain and Organize large project files when required;
• General administrative duties such as correspondence, filing, photocopying, faxing, dictation/transcription and opening and closing of files.
• Maintain and order library books for the department;
• Print and prepare documents for executive meetings for two ministries; and
• Prepared a 50 page PowerPoint presentation for the department. Corporate:
• Prepared documents respecting incorporations, dissolutions, changes of directors, transfers of shares, revivals, extra- provincial registrations, and Annual Returns;
• Drafted correspondence and managed all files;
• Conducted legal searches and assisted lawyers with document retrieval;
• Provided assistance to clients when lawyers were unavailable; and
• Submitted documents for registration to appropriate agencies. Litigation/Family/Wills & Estates:
• Daily correspondence either dictated or drafted, preparation and filing of pleadings and other court documents;
• Booking of appointments for Questionings, JDR’s and chambers applications;
• Conducting of searches with appropriate registries, responsible for entry and organization of firm limitation diary;
• Opening and management of files including appropriate diarizing throughout and drafting of Contingency Agreements; and
• Drafting of Affidavits of Records, Writs, Judgments, Satisfaction Piece and Lis Pendens, Statement of Claims, Statement of Defence, Wills, Personal Directives, Power of Attorney, Agreed Statement of Fax, Briefs, Civil Judgments, Garnishee Documents.
Fine Recovery:
• Receive a copy of the PPSC Fine and/or Surcharge Orders from courthouse or information sheets from Agents on the fines;
• Check to see if fines have been paid in JOIN and iCASE on, after the due date or once I receive information from Agents, etc.;
• Open a file in iRIMS and iCASE for the unpaid fines and surcharges and prepare and send out a registered letter requesting payment in full;
• Review Join & iCASE updating accused most recent address or previous address and DOB information and prepare lists to be sent for set off at CRA for collection of their Income Tax Refunds and GST rebates;
• Conduct searches at Alberta Registries or online at Equifax and Corporate Registries for updated information on the accused and either send out letter or prepare for set off to CRA;
• Pull diarized files to see if payments have been received and if not send out a 2nd letter with Statement of Offender; enter in the final payment information for fines received on the original criminal files in order for them to be closed;
• Printout list from iCASE with accused names who have not made payments since we sent out letters and check in Join to see if there has been any activity of payments or updated address in order to either send to CRA or bring in front of the Judge in Edmonton;
• Pull files to close upon receipt of payment in full;
• Collect cheques from accounting and forward to Provincial Court;
• Telephone calls with income tax preparing companies to provide the amount required to be sent to CRA for payment of outstanding fines; and
• Correspondence prepared and faxed to Alberta Registries and Alberta Government to reinstate accused driver’s license. Education:
