WORK EXPERIENCE
Started my internship at the Magistrate Court 119 A High Street, 27 September 2017. I finished my experiential learning 27 March 2019, I’m waiting for my N6 Diploma.
Duties performed by Ms Mckaiser:
Maintenance Section:
Filing of Maintenance files and correspondence;
Opening a new file;
Registering files / updating files on ICMS Maintenance;
Reading and understanding of JDAS;
Capturing and updating information on NOCIMT;
Keeping of the Numerical and Alphabetical Registers;
Entering Correspondence in the OH Register and updating thereof;
Completing of Maintenance Forms;
Closing of Maintenance Files in all prescribed registers and computer systems;
Understands how to do disposal of files in terms of Code Achieves and Code Correspondence;
Checking of the Sheriff’s account by comparing the account with the OH Register;
Maintenance MOJA PAY Project
Drawing of Maintenance Files which were still active (meaning, still receiving money);
Checking each file and copying documents containing the latest address of the Complainant and Defendant;
Copying of the Complainant’s and Defendant’s ID’s and the child(ren)’s birth certificate(s), if some of them are missing, Miss Mckaiser would do a screen print from ICMS Estates or send it to the Maintenance Investigator to obtain;
Copying the Defendant’s payslip and if it was not on file she would make a copy of the schedule where the Defendant’s pay number reflects, if the pay number does not reflect on the schedule, she would than send it to the Maintenance Investigator to obtain it;
Copying of the CEFTU 3 Form and current bank statement of the Complainant and if it is not on the file then printing an ABSA online statement of the Complainant / Beneficiary;
Copying of the current Maintenance Order.
Domestic Violence and Harassment Section:
Taking of applications and completing prescribed forms;
Opening of new files;
Registering each new file in the Domestic Violence / Harassment Register;
Preparing of Court Documents by typing and printing all;
Submission of files to the Magistrate as per the time frames mentioned in the act;
Copying of Court Documents in preparation for service by the Police;
Updating of all prescribed registers;
Registering files / updating files on ICMS Domestic Violence;
Preparing of the Domestic Violence and Harassment Court Rolls for Wednesdays and Thursdays, including preparing of the Court Documents (typing and printing);
Filing of files and correspondence;
Children’s Court Section:
Filing of Official Correspondence on Children’s Court Files;
Completing / updating of Form 1 forms;
Completing of Form 2 Forms;
Updating of the Children’s Court Data Base;
Filing of Children’s Court Files in the Record Room;
Diarizing of Children’s Court Cases;
Opening of new Children’s Court Files;
Typing of Court Records / Court Orders;
Answering telephone calls at Children’s Court;
Receiving of Social Worker’s Reports;
Entering all local Form 4’s in the Sheriff’s Register for the local Sheriff to serve all parties that needs to attend the enquiries;
Copying of reports / records as per the instruction of the Presiding Officer;
Family Section HR:
Requesting print outs from the Typist in respect of leave print outs per official at the Family Section;
Drawing of each officials personal file (file number 2/1/5);
Updating of the Leave Record page;
Auditing the Leave file by comparing the leave print out with the Leave Record page and the individual leave application (Z1a) and with the Z8 Daily Sign in Register;
Criminal Section:
Writing up of cases in the Criminal Court Book, new cases must be entered in black pen and postponed / old cases must be entered in red pen;
Scanning of charge sheets to electronically file them on the computer (electronic filing system);
Working in court doing microphone check before recording;
Adding cases on to CRT System according to information on file
Checking that the CRT System is recording correctly during Court proceedings;
Filing and diarising of Criminal Charge Sheets;
Entering and maintaining the Warrant of Arrest Register, Appeal and Review Register;
Completing the J33 Receipt Book in respect of transcription of Court Proceedings;
Updating cases on the ECMS and ICMS systems;
Assisted with stats by counting cases at the end of the month.
