Job Profile/Roles and Responsibilities-

SFA & Expenses

Ensuring daily & monthly reports and entries are submitted by export and Indian Division employees without any fail

Maintaining SFA record of all field staffs of Domestic & Export Division. Ensuring daily & monthly reports and entries are submitted by all of them without any fail

Checking Expense report on monthly basis and MTP-DCR Variance report on daily basis, of all field staffs from Indian Division and export and in case of any variance, informing reporting manager immediately

Order Processing

Processing of orders (telephonic, email etc.) from the time order is received till the payment is realised.

Verification of prescription, approval, confirmation and processing of online orders from Magento backend

Processing of offline orders from field sales and franchisee until the payment is received

Preparing a daily dispatch schedule of orders & assigning duties to dispatch staff

Making quotations,proforma invoices and invoices as per order

Ensure timely dispatch of orders

Inventory management,ensure that no product should go out of stock

Coordinating with factory for manufacturing the required quantity for supply

Ensure in Processing of orders to be done within the same day or the next day

Ensure in receiving the Invoice details for respective of Orders from BSR team within a day or two.

Attending complaints/queries/ issues with customer/vendors / principal companies etc

Maintenaince and monitoring of product-wise sales report

Inventory management and proper inventory forecast report maintenance

Maintaining good coordination and relation with doctors,stockist,franchisers to ensure smoothly inflow of orders

Maintaining product-wise sales report and monitoring the product performance in the field /if new product development required/any product discontinuation required etc

Sending samples to sales team, distributors and agents after approval from reporting manager

Supply Chain Management-

Coordinate and monitor supply chain operations

Product sample and promotional material should never go out of stock

Maintainig stock report for promotional materials like catalogues,brochures,pamphlets etc

Raising purchase indent for the same before the material goes out of stock

Tendering-

Responsible for keeping a track of all Govt websites and relevant portals for tenders opening date

Responsible for regularly checking e mails related to tender release information

Preparing and arranging documents as per tender requirement as per the NIT

Co ordinating with various departments for missing documents

Submit tenders/ quoting in E Tenders/ Reverse Bidding/ Rate contracts of various state & Central Government

Providing resolutions for any discrepancy in cheques provided by customer from customer / CP / Field staff

Distributors & Franchisees-

Sending distributorship & franchisee agreement, product list, price list to prospective clients as per instruction from field sales team and follow up with team/client to ensure conversion

Follow up with distributors from areas, where Field sales team is not present, for repeat order

Follow up for payment with distributor/Franchisee

Sending samples to sales team, distributors and agents after approval from reporting manager

Documentation-

Responsible for managing client database

Responsible for managing all documents, records and files related to Govt & Pvt Sales

Responsible for maintaining copies of COA(Certificate of Analysis),MSDS(Material Safety Data Sheet) etc of all products
