Reporting To: Director Of Engineering, Chief Engineer.

Key Responsibilities:

Carrying out daily routine work in the Engineering Department.

In charge of office administration such as typing, filing, reporting, sorting of Incoming and Outgoing documents, preparing of internal and external correspondences.

Prepare and arrange the DOE’s diary (e.g. meetings, trainings, briefings, etc.)

To report to the DOE on a daily bases all incoming and outgoing information (e.g. status of certain assignments given, inquiries, etc.).

Maintains and updates the following records:

Arrange monthly / annual servicing schedules for the following:

Prepares weekly time sheet and updating of current and balance lieu days/overtime. Maintains individual staff records/files of staff such as vacation requests, endorsement letter, etc.

Controls the Engineering Stores. Maintains the maximum and minimum level of all of the stocks in the store. Keeps the Engineering Stocks System updated (posting on the system). Receives item and coordinates with the Supervisor. Prepares monthly reports. Coordinates with the Accounts Department during the Monthly Inventory.

Organize and implement in-house training programs for the Engineering Department.

Attending to staff requests on daily basis (i.e. service requests, request given over the phone).

Obtain quotations from outside contractors/suppliers, summarize and forward to the DOE and prepares the purchase order as necessary.

To follow-up orders and delivery of items from the suppliers/contractors as well as to ensure that bills/invoices are settled accordingly.

To assist in the planning and possible improvement of the department.

Implementation of company policies, standards or procedures for the following.

Provides informative, courteous and efficient assistance to internal and external guests.

Attends meeting and briefing whenever requested by the DOE and writes up minutes.

Answer all telephone inquiries from guests, colleagues, suppliers/contractors.

To attend and comply all training sessions either for the department of the hotel.

Maintain, update and monitor the PMS and Maintenance System through Maintenance Software

To carry out any other duties that may be given by the Director of Engineering.

As Engineering storekeeper:

To ensure the Hotel's security instructions and regulations are observed at all times in accordance with Hotel and company policy and procedures

Record on a daily, weekly and monthly basis all items of stock which have been sighed out of the stores for use by the department

Ensure a tracking system's is maintained to monitor par stock levels, fast moving and slow moving items are recorded to enable the stores department to operate efficiently at all times

To ensure all log books, record sheets and dairy of events are correctly completed and kept up to date prior to finishing the shift

Liaise with the hotel’s purchasing department and the engineering suppliers to ensure the efficient ordering and receiving of inventory items or outsourced maintenance services

Assist the hotel’s purchasing department with sourcing suppliers and obtain quotations for engineering supplies or outsourced maintenance services

Constantly strive to reduce costs for the department without reducing quality of service, or impacting on our guest satisfaction in any way

Monitor and report on progress of any plans or ideas implemented to reduce the department’s wastage of resources

Computer proficiency : Excellent working knowledge in MS- Office.

Good exposure in Hotel Software’s like

Espresso, Fidelio Materials Control, Oasys.
