Administration Clerk - within the Court environment performing various duties.

Key Responsibilities

Maintenance section

Customer Liaison.

Observe the process of interviewing the client.

Confirm if the client has all the correct documents that are required when applying for maintenance as per the check list attached the J101 application form.

Assisting the client to complete the J101.

Writing up and maintaining of the Directive and garnishee orders in the OH register.

Writing up the court book (J546) in the correct manner and completing all the relevant information as set out in the Code: Clerk of the Court.

Safe guarding of maintenance files that are set down for Court appearance.

Filing of maintenance files that are set down for a appearance date.

Assisting where need arises.

Registry

Administering of Leaves and dispatching them for capturing on Persal.

Completing the leave register that is to accompany the leave forms.

Maintaining leave register.

Filing of leave forms that was captured on officials files.

Checking leave credits by requesting leave print out from Regional Office.

Assisting officials to complete Temporary Incapacity Leave (short) and dispatching thereof to Regional Office.

Maintaining of registers pertaining to Registry.

Maintaining of Personal file (2/1/5).

Assisting officials with faxing after approval of the Court Manager.

Ensuring that the Fax register was maintained and approval indicated in the register.

Assisting officials with the scanning of documents.

Writing up and delivering of incoming faxes.

Issuing of Z53 – disposal receipt, when officials is not available to sign the salary sheet.

Ensuring that when handing over salary slips that the officials signs the salary sheet.

Ensuring that all salary slips/sheet is locked away at all times when not in use.

Ensuring that Personal files are filed alphabetically.

Ensuring that the file movement register is updated at all times when the file is requested.

Assist officials in completing End-user forms and dispatching it to Helpdesk.

Domestic Violence

Interviewing the clients applying for the protection order

Taking Domestic Violence and Harassment applications to the Magistrate

Copying of the applications and Interim orders signed by the Magistrate

Getting files ready for the court 0 preparing court roll

Opening new files and entered the required information in the register

Each file is allocated a new case number and the file details are then typd on a cover page with all the required information and the pasted on the file cover

Ensuring that the form 17 and form 9 is completed

Typing of covering letters and all this is placed in the file and handed to the Magistrate

New files opened are taken to the supervisor for checking

Receiving reports from social workers and reading through the reports to ensure all is in order

Ensuring that the Social Workers reports are filed in the correct file

Preparing of for court and typing court roll for the day

Capturing of new cases on ICMS and ensures to update the case with the outcome of each case

Filing of case

Once the file is returned and judgement had been delivered, judgement is captured on ICMS

Moja Pay team

Drawing of active Maintenance files that are to be captured on Moja Pay.

Checklist and getting files ready to be captured on Moja Pay.

Drawing of CEFTU 3 forms and linking them to the Maintenance file.

Liaison with clients requesting outstanding documents that is required for the files to be Moja Pay ready.

Photocopying of all the required documents for each maintenance file that is Moja Pay ready and handing them over to TPF (Accounts) for capturing.

Assist the official responsible for capturing the file on ICMS: Maintenance.

Safe guarding of maintenance files whilst in transit between offices.
