My experience spans over a total 15+ years of association with reputed organizations and having worked on prestigious projects in the GCC countries as well as in India.

Manage documentation system for efficient and orderly storage and retrieval of drawings/documents and other information. Maintain and update all necessary records, files and database, and ensure complete support in the management of the document control activities of the project.

OBJECTIVE

Accountability:

oWorking as a PMO Document Controller:

oPMO – Projects Management Office is a centralized team which handles all the Projects from Head Office having all decision taken for all the Projects in order to achieve Client Requirements.

oMaintain the company’s Quality Document Control Systems (QDCS) and associated registers in accordance with document control procedure well in line and control.

oImplement standard procedures for submitting, receiving, distributing and filing of projects related documents. Handling project correspondence, documentation their recording, storage and retrieval.

oProcessing the official correspondence such as PMO letters and Memos for submission to the concerned.

oCoordinating with the Accounts, Procurement and QS Teams in respect of any invoice prior to receive from the sub-contractors of all the projects.

oWeekly E1 & E2 (Engineering) logs received from all the projects to be processed and sent to the PMO Team for their information and action.

oArranging the Material Requests and Equipment Requests received through emails from the different projects for the approval of Project Managements and sending the same for final approval.

oWorking as an Asst. Accountant:

oReceiving all types of original invoices such as for an Advance Payment, Manpower Supply & Progress works from all the projects and updating the same in the Provision Log. The same invoices shall be forwarded to the concerned Site Project Managers for their approval and necessary supporting documents to proceed further for payment purpose.

oPreparing Vendor Payment Evaluation (invoices to be certified) of the invoices for Advance Payment & Payment, relating to Building Materials, Manpower Supply, Equipment Rental Services and Miscellaneous, and submitting the same for the review and approval of Accountant and Project Controls Manager, and then forward the same to Finance Department for further process for releasing the payments.

oUpdating the Vendor Payment Log and maintain the accurate soft copies of Vendor Payment Evaluation of certified invoices, on the daily basis.

oReceiving the Petty Cash Replenishments from the different projects and submit the same to Finance after review of the Accountant.

oMaintain all aspects of document control as per project system required to update and archive project’s technical documents and drawings in a timely manner.

oHandling an informative system of matrix for distribution of project correspondence, inspection requests, shop drawings, Engineer’s comments / approvals on site clarifications, work notifications, document submittals, material submittals, area of access handovers, etc…developed by the project management.

oMaintain and update status of the logs for all the documents like Design drawings, Shop drawings, prequalification documents, material submittals, test reports, method statements, Request for Information, document submittal – general, etc.

oMaintain a standard system of project filing (both manual and computerized) enabling easy reference of all project related correspondence / documents & drawings instantly.

oMaintain the documents in the Document Control office under safe custody and update records of all approved documents and drawings and their distribution accordingly.

oMaintain and update the logs of all incoming and outgoing correspondence including the Work Inspection Request / Material Inspection log, Inter Office Memo – incoming/outgoing log, Record of Incoming/outgoing letters / documents log, Record of site work instruction/ Site Observation log, SVR and NCR Logs.

oAssist in External and Internal Audits.

Manage and maintain the M.D./HOD’s diary and email account.

Filter emails after review; highlight urgent correspondence and determine if executive action is required. Maintaining confidentiality of necessary documents and electronic correspondence on behalf of the M.D./HOD.

Maintains calendars, schedules and co-ordinates appointments, receives calls and/ or greets visitors, responds to requests for information.

Prepares routine correspondence on own initiative including the drafting of general replies and ensures that all correspondence and reports are processed in a timely manner.

Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place for the M.D./HOD to match his requirements.

Arranging, Coordinating & Setting-up of Meeting and conferences. Getting confirmation from participants in meeting and booking conference / meetings room in-house or outside as per requirements.

Scheduling and Organizing of Meetings, supporting it with all required documents like Agenda etc., preparing and distributing Minutes of Meeting to all the attendees.

Able to handle independent correspondence, minutes of meeting, MD diary, booking and ticketing, coordination with internal and external customers.

Prepare and distribute weekly and monthly reports such as Weekly Safety reports, Environmental Monitoring Program report & weekly / monthly Safety reports, etc.

Update the inventory of all reports such as Warning letters, HSE violation notice, Non-Conformance reports, incidents/accidents/near miss reports, etc.
