Administrative

•Perform administrative assistant functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings for the Manager or designate;

•Provide clerical support including mailing, scanning, faxing and copying to management and maintain electronic and hard copy filing system.

•Open, sort and distribute incoming correspondence and perform data entry and scan documents

Coordinate and organize department meetings and conferences including meeting venue bookings, catering requirements, sets up the room with audio-visual equipment and flip charts and tends to other requirements of department meetings

Customer Service

•Answer incoming calls/emails and respond to customer questions / concerns / program inquiries in a customer friendly manner

•Ensure all customer inquiries are handled accurately and professionally, per the program requirements

•Encode accurate data entry in consumer database per program requirements

Accounting and Collection

Receive and prepare work that requires special handling to process accordingly. Items such as exceptions, foreign currency items, cash orders, balancing journals and print productions could be examples of this work.

Receive, verify and create adjustments on line as required

Makes decisions on appropriate method of processing depending on issue/situation

Resolves out of balance situations using investigation procedures and independent judgement

Collects and records measurement information to ensure reconciliation of work

•Resolve collections by examining customer payment plans, payment history, credit line and sending out collection letters

•Charge expenses to accounts and cost centers by analyzing invoice/expense reports, recording entries.

•Maintain accounting ledgers by verifying and posting account transactions.

•Process accounts and incoming payments in compliance with financial policies and procedures

•Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data

•Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
