As Procurement Executive

Responsible for drafting financial and target reports on daily, weekly and monthly basis using Pivot Table and V-Look up to meet the monthly targets and work with pressure to achieve the deadline.

Review customers orders from Saudi and Middle East, create Purchase orders and manages Invoices to follow up using I-scala.

Coordinate the prices of parts, shipping date, status of orders and availability of stock through R12 Oracle Site and PeopleSoft applications.

Report PO, Order Acknowledgement and Invoice discrepancies and other client-related quality and service issues to the factory and client for resolution.

Formulated Part numbers and prices through Trane Comfort Site and sending to suppliers and customers.

Coordinate with Midea China to achieve the Cost price and calculate Net price and List price and send them to customers.

Maintain and cross check Monthly Sales File, Order file and Backlog File with Dallah Status file to tally the Sales and Invoiced orders and to follow up Backlog and crucial orders.

Coordinate with ILC (United States) factory to update the status of orders and speed up the process to meet the deadlines.

Creating and Booking orders through E-post for Midea, US and local orders with Delivery terms, port of import so as to place the order accurately in US Factory.

Weekly report to customer Dallah (Saudi) to update the SASO status and Closed order status for part numbers till date.

Maintenance of all the Invoices received from US Factory for future reference and updating records of all orders in folders and Excel sheet.

Drafting the Status and details of big orders and reporting to High-level Managers.

Create and maintain Invoices for SASO fee, Reserves and monthly Maintenance Contracts till the contract period expires.

Coordinating and follow up with ILC Factory Team and CEVA Logistics (Freight Forwarders) for Data Sheet, Pictures and Invoices for processing SASO so as to deliver the items in Saudi.

Generating Minutes of the Meeting and reports to all the members in the meeting.

Formulate the status and other details in DFSD to meet the targets and report Managers.

Check the status and shipping date of orders from R12 Oracle Site and informing the customer to make sure the items reach at the stipulated time.

Check and update the status of France orders through I-Store.

Reports managers the estimated monthly targets to meet within deadlines and take better actions for follow-up.

Coordinate with Finance for Invoices to tally the payments in respective accounts.

Maintenance of SASO File with Original SASO Certificates and updating all the Parts with Certificate number and other details on the basis of US/MIDEA/ Asia Orders in Microsoft Excel file. As Procurement Officer

Responsible for daily inventory stock recording.

Coordinate with Finance for payment processing documentation.

Generating reports and conduct strategy meetings with suppliers.

Review customer orders to highlight discrepancies and inform the concerned department.

Manage customer complaints, supplier non-conformances and adherence to the follow up process.

Coordinate the weekly backlog report, product forecast report.
