Duties:

Ensures the general efficient, effective and smooth running of administration services.

Co-ordinates and oversees full reception function by ensuring that the reception duties are performed to the required standards.

Oversees the full weekender function, including preparing tasks for weekenders.

Assist the Public Relations/Communications Manager with the archiving of records and undertakes public relations activities at events.

Assist the Operations Manager with the administrative responsibilities pertaining to the generation of the Annual General Report.

Assist the Operations Manager with compilation of any other ad hoc reporting requirements for the organisation such as annual submissions with regards to the Department of Health; SASSA and NPO.

Set and circulate agendas for meetings in consultation with the relevant Department Managers, book meetings, provide attendance registers, take and circulate minutes.

Assist Development and Finance Department in ensuring the smooth and effective running of the DMS database.

Attends and takes minutes at the Board meetings and the Annual General meetings. Prepares draft minutes and all documents necessary for the meetings.

Oversee the distribution of letters, including those for monthly donors.

Manages the stationery store and oversees the counting of coins.

Assist with all hospitality related activities for events and work closely with PR Officer when required

Assist Management by preparing and forwarding general correspondence, ensuring copies are retained for filing purposes.

Co-ordinate the logistics, accommodation, transport requirements, embassy visits, tours, meals, paperwork and any other functions regarding foreign volunteers, overseas visitors and out of town visitors in consultation with Operations Manager.
