Group HR & Admin Officer – At Al Sulaiteen Group of Companies – Doha QATAR (Sep 2015 to present)

HR Duties & Responsibilities

Monitoring Company HR policies which had been implemented and applicable for all sub-companies with ensure that following by every companies.

Maintaining the employment master list in Group HR Department of all the business units (Companies) by receiving from the all companies HR Officer’s at end of every month.

Responsible for receiving all HR related official documents from all the business units (Companies) and send to Group HR manager for approval after verification.

Properly updating the employment master list through Excel & SAP system.

Preparation of HR Monthly report based on collected information from all business unit HR monthly basis.

Responsible for preparation of Manpower planning master report at end of year based on collected details from the all business units HR Officer’s.

Responsible for circulate the various information’s to All HR Officer’s (business units) as per instructed by the Group HR Manager.

Making the various official agreements with other business partners.

Collecting employee’s details from the all business units (Companies) in order to enrollment of workmen compensation insurance (WCI) at end of year.

Recruiting the employee’s from both locally & overseas for various position as per requirements in order to appoint the right candidates for right position.

Dealing with recruitment agencies in order to make a proper recruitment form the overseas.

Make various job Advertisements through the various recruitment sources during the new vacancy opening.

Screening the candidate CV’s and shortlisting the suitable candidates based on job position.

Make initial interview with candidates over the phone as per instruction of HR Manager.

Arranging the interview and recording the candidate information’s during interview in order to make evaluate & short list after interviews.

Analyze the Compensation & Benefits of employee’s coordinate with HR Manager.

Preparation of Employment offer letter based on company pay scale criteria, grades & benefits.

Prepare the employment contract for new employee’s coordinate with PRO.

Assign the new recruited employees for Induction program, training & development and send them to their particular department in order to learnt about the work system and ensure that the new employees got a proper training.

Apply for D-Pay card for newly joint employee’s coordinate with accounts departments.

Prepare the HR Budget at end of year as per instruction of HR Manager in order to estimate the future expenses for next year.

Dealing with the employee’s various grievances, issues and problem solving by identify the proper solution on time.

Observe the finance department in every end of month regards the payroll processing and make sure that salaries paying to the employee’s through WPS.

Make sure with finance department leave, end of service settlement and other benefits are settled to employees during their vacation & resignation or Termination.

Maintaining of Group employee’s personal file confidentially under the HR custody.

Maintaining of Group employee’s passports confidentially under the HR custody.

Renewal of employee’s QID and Health card (Hukoomi) prior one month before expiry date as per coordination with PRO.

Arrange the medical & finger for new employees coordinate with PRO.

Collecting the time sheets from the each & every section at end of every month and send to account department in order to processing the payroll after verification.

Monitoring the group employee’s attendance through using bio metric system and properly maintaining with HR Record.

Coordinate with PRO regarding the visa arrangements based on requirements.

Collecting the employee’s attendance details from the HR Officer’s through the bio Metrix system monthly basis and maintain the attendance record.

Draft the Job description based on job duties & responsibilities for specific position.

Prepare the all HR related application forms (Joining report, Leave form, Resignation, Disciplinary Action & Employment change notice, etc.) as per requirements.

Conduct the performance appraisal in department wise in order to make a proper employee evaluation.

Conduct the Exit interviews for Resignation, Termination and Transfer employees.

Ability to check QID details, Visa details and Traffic violation through MOI Website.

Administration Duties & Responsibilities

Supervise, coordinate with the employees for daily routine activities by providing instructions.

Draft the Official letters, Internal Memos, Agreements and Certificates based on requirements.

Maintaining all the companies (business unit’s) vehicle master list by receiving from the HR Officer’s in end of every month in Group HR Department.

Maintaining and Updating the Group Vehicle list.

Monitoring the Isthimara’s (License) & Insurance renewal of all Business Unit company Vehicles in prior one month as per company policy.

Responsible for issuing of company vehicle to employee’s & get returning back from them based on company work purpose.

Maintaining the Camp resident of summary list in Group HR Department which confirmed by all business HR Officer’s and camp boss.

Preparing the purchase request of office stationaries & other material based on the requirements.

Issuing the food coupon’s to all the companies as per requirements in end of every month.

Providing the all companies Camp resident & issued food coupon details to Group finance department at the beginning of every month upon request from Group finance department.

Following-up with All the Companies renewals of CR, Computer Card & Trade license one month in advance.

Maintaining the records of all the companies Registration documents (CR, Computer card & Trade license)

Arranging of business Trip along with visa process arrangement in line with coordination of embassies.

Proving the vehicle facilities upon request from the employee’s for various purpose.

Booking the air ticket for employee’s coordinate with Travel agencies partners.
