PRIMARY SCOPE OF RESPONSIBILITIES

(Administrative Assistant)

Point of contact for the Provost/Vice President and Assistant to the Provost between university executives and internal/external clients. Oversee all aspects of office coordination including coordination of metrics reports.

Well versed in heavy calendar management, coordinate internal and external meetings and events as required, via SKYPE and Bridge Line Conference calling for daily, monthly and quarterly meetings. Work in a strong teamwork environment with other executive, senior administrators, and executive assistants.

Prepare and coordinate travel arrangements for monthly off-site meetings, assist in achieving meeting deadlines. Tasked with receiving and screening calls to direct to the proper internal company affiliate for handling. Read and answer Vice President’s email and respond accordingly. Monitor requests, queries for deadlines. Purchase, order and account for all department office materials and supplies.

Monitor, review and process expense travel requests and travel vouchers. Review travel expense reports for payment and processing. Process, track and input data for various reports pertaining to company personnel.

Coordinate catering, conference room space, invitations, and other event planning activities as needed for meeting and special projects.

File management of all faculty, (temporary/adjunct) personnel files reviewed for proper employment documents pursuant to PA State higher education compliance standards.

Manage confidential records when necessary and processes requests for information according to departmental policy, prepares reports and drafts correspondence related to technical assignment.

Work assignments are performed within an established framework under general instructions but requires simultaneous coordination of assigned functions or projects in various stages of completion.

(Legal Secretary/Paralegal)

Prepare, compose, review and assemble a variety of documents including filings, pleadings, memoranda, and correspondence. Analyzed cases for essential witnesses and coordinates service of subpoenas.

Provides public with general and/or explanatory information as well as answers questions and resolves problems without giving legal advice.

Charged with handling all aspects of secretarial and paralegal work, heavy telephone contact with clients, attorneys and court personnel. Manage Executive customer inquiries from outside counsel, internal clients, physicians and company clients regarding case status and resolving benefits coverage and problems associated with same from the Legal Affairs aspect.

Prepared and filed Answers to Complaints, Notice of Motions, Reply and Opposition Briefs, Answers to Interrogatories, Notices of Production, Arbitration Statements and Statements of Facts. Monitor cases for deadlines and outstanding discovery. Prepared cases for trial and prepared trial binders as needed.

Assist with Compliance Inquiries and Resolutions. Back up departmental staff members and monitor front desk as needed.
