Handling outgoing calls and screening, directing incoming telephone calls etc.

Arranging Kick-Off Meeting and Weekly Site Meeting (Internal and Subcontractors) and preparing Minutes of Meetings

Notifying to the Consultant on pending documents (such as Shop drawings, FCRs, RFIs, Red line markup, BIM drawings) submitted that elapsed more than 14 days.
Preparing reports for the Planning Engineer to incorporate in weekly
/monthly report to the Client/Consultant.
Preparing/ formulate the material submittal as per the check list and document furnish by the supplier as directed by the Project procurement Engineer.
Distributing/scanning all documents/ shop drawings in the system as per Company Quality Control Procedure (QCS 2010 / 2014). All superseded documents to be replace with the latest approved documents in system.
Monitoring control documents distribution, to ensure that all superseded shop drawings /method statements/ITP/Quality Control documents are replaced by hard copy of latest revision and also updating in the system having record document called CDD (Control Document Distribution).
Administrative: Preparing requisition for the Stationeries / Kitchen items as per the project office/site requirement and following up with the Main Office LPO/Procurement department for the arranging Local Purchase Order.
During the vacation of administration, handling petty cash and obtaining the approvals of expense sheet from the higher management.
Arranging Transport for the Site Team/Client /Consultant coordinating with Site Administrator/Timekeeper.
Followup of deliver with the supplier for the emergency materials.
Arranging quotations from the supplier for the emergency cash purchase as per the instruction of Project Manager.
