Responsibilities

Design and Create database in eDMS for better Document controlling system. Every individual staff can get Access in searching, viewing and printing of all Incoming / Outgoing correspondence and submittals. All DC’s and Secretaries can make an entry of all incoming and outgoing documents. By using this database it is possible to print an important report, such as weekly outstanding submittals, correspondence, monthly and overall status etc.

Monitoring and maintaining network activities running in IBM server, configuring network printers, plotters, pc’s etc. Helping most of the employee’s to solve their computer problems. Communicating with Computer suppliers and get maintenance for warranty items. Create Reports and Forms whenever required for the Project, assist Project Director in regard to all kind of Documentation. Distribute documents as per Distribution matrix. Keep updating submittals and correspondences document in eDMS and document control numbering system

Knowledge of uploading and downloading of all kind of documents through Aconex and FTP server. Implementation of Document Control procedure and filing system in new projects according to the company protocols & procedures and liaise with Client, Consultant and Project Management agencies to meet their expected standards. Provide training to concerned persons. Receiving Drawings, Letters and other documents from various parties with proper acknowledgement stamps and distributing them among various departments and parties as per Project Managers Instruction. Establish and follow up of Preparation of Documents for submission (Letters, Material Submittal, Drawing Submittal, RFI, Engineer’s Instruction and etc…) and updating and maintaining Log.

Supervision of Documents Internal & External Distribution and ensuring proper delivery. Supervision / inspection and Archiving of Filing of all Documents including Drawings, follow up for Documents and informing the concerned department for re submission, if required.

Regularly checking and reviewing of all incoming letters from Client, PM, Design Consultant, Contractors etc… on Aconex and forwarding to the discipline in charge for their information, review and necessary action. Monitoring and maintaining Aconex system and creating user ID for the Internal Staff as required. Coordinate and follow-up with all the Contactors, Consultants and an internal site team for the latest / revised information. Independently handling operation and maintenance of office automation equipment. Maintaining a well organized document control system based on agreed procedure which meets the requirements of the entire project.

Dealing with Client, Project Management, Contractors and other outside parties in relation with documentation. Provide proper and timely information about documents as and when required to the concerned parties departments and outside agencies. Provide assistance to various departments in Preparation of various reports like Daily, Weekly & Monthly Reports and Submission of the same too concerned authority. Responding to routine correspondences.

Interview of DC and Secretaries staff to identify best performers; make recommendations to management for increased efficiency. Interface with Project Management, consultants, contractors to resolve problems and issues pertaining to document control.

Maintains a document distribution schedule based on project, client, and internal team requirements. Implements document/data management solutions with a primary focus on document control and records management. Works with and guides program management staff to define unique program requirements. Expedites review, signature approval, and release of contractor and internally produced documents. Ensure timely approvals and distribution of documents. Works at all levels to develop and improve services. Provides training and development, reviews work produced, completes performance evaluations, conducts employee counseling, and takes corrective action as necessary.

Handling of documents – Actioning, distribution via emails to staff, Tracking responses & follow up, Retrieval of mails, transmittals, Acting as a focal point for Development Team, Designing new procedures, formats etc for Crescent & Trunk Dept, Updating Crescent & Trunk staff about General issues, Filing, Monthly Back ups, Labelling etc. Prepare Transmittal, Letter to the Consultant, Client, Design Group. Compose letters in response to incoming mail and calls.

Roles and Responsibilities

As the In charge for the Document Control Department for the prestigious fast track projects, my duties included setting up a well organized document control.

My duties consisted the supervision of distribution of all incoming and outgoing mails and submittals and logging the same. Recording all the correspondence related to the project and filing the same categorically.

Control of incoming and outgoing design documentation Filing and control of internal design and project documents and records. Maintain project correspondence and drawing files. Prepare drawing issues including arranging printing and dispatch. Prepare documents for storage/archiving as appropriate, Logging Transmittal/RFI etc. in Prolog Manager 7.20 software program.

Checking of Maintained logs for the files updated and on current use and follow up sub-contractors daily progress, closely dealing with the PCS team. Supervision of Routine Document Control job as mentioned below.
