Executive Administrative Assistant

Position Summary:

This is a highly responsible position which requires advanced skills in all facets of executive level secretarial/office managerial responsibilities. Requires absolute confidentiality. Excellent oral and written communications and time management skills are required.

Major Duties and Responsibilities

Provide secretarial support for the President/COO and Sr. VP of Sales, including scheduling, research, mailings, ordering of supplies, telephone contacts, etc.

Research best possible travel/flight schedules and pricing for both international and domestic itineraries

Process travel expense reports

Organizes and maintains files as well as all working files for the President and Sr. Vice President of Sales.

Maintain calendars, directories, etc. for the President and Sr. Vice President of Sales.

Coordinate all presidential and senior vice presidential trip follow-up.

Complete and submit Presidential and Sr. Vice President expense reports.

Process contracts

Maintain Excel reports

Budget planning and cost analysis

Strategic planning and business plan analysis

Plan catered events and guest schedules

Hotel coordination with guests

Send out monthly reports to all states

Follow-up with potential clients

Send out exams

Track shipments

Pack and ship materials for tradeshows

Type memos, contracts and schedules
