Medical Records Specialist

Duties, Accomplishments and Related Skills:

Outlying Clinic, Fort Belvoir Army Community Hospital and serviced by Spectrum Health.

Serves as the initial point of contact and sign-in all active duty, retired beneficiaries and their dependents for either their medical appointments or medical record request. Received and Maintains patients' records, processes and completes patient's record request form. Utilizes the Composite Health Care System I and II (CHCS I and II) medical informatics system for all clerical requirements pertinent to the care provided to active duty military members, retirees and their family members. This includes patient data entry, record review processes and scheduling patient appointments. Well-versed in medical terminologies needed to transcribe physician and nursing orders. Coordinates procedures and patient’s appointments. Records and relay messages and/or re-direct calls as appropriate. Enters, updates, and/or retrieves patient information and data from CHCS I, Ambulatory Data System (ADS), and the Clinical Information System

(CIS) within authorized limitation while maintaining Privacy Act and HIPAA regulations. Adheres to The Joint Commission (TJC) standards, Medical Command

(MEDCOM) rules and regulations, Medical and Dental Activity (MEDDAC) and Fort Belvoir Community Hospital safety policies. Performs monthly chart screening and identifies deficiencies for quality assurance purposes. Subject matter expert on regulations and policies related to proper patient's identification requirements, eligibility, the Defense Enrollment Eligibility Reporting System (DEERS) and patient issue including Privacy Act. Conducts follow-up in accordance with established procedures where deficiencies are noted. Uses all functionality of ADS, CHCS and CIS in processing patient data within the limits of approved guidelines, Standard Operating Procedures (SOP) and policies. Utilizes tactful communication and customer service skills to obtain factual information, explains clinic services, policies, procedures, regulations and complaint processes to patients, family members and staff members. Uses the same skills for informal resolutions of any problems, concerns and complaints through discussion with patients and their family members. Adheres to SOPs and Codes procedures when dealing with physically abusive or emotionally disturbed and distraught visitors. Utilizes Microsoft office programs including Excel, Word, PowerPoint, Access and Outlook system.
