Voltas Limited is an engineering, air and refrigeration company based in Mumbai, India. It makes equipment for industries in areas such as heating, ventilation and air condition, refrigeration, construction equipment, material handling water management, building management system indoor air quality and chemicals.

Designation: Admin Assistant

Role: Site Administrator

Responsibilities

Manage facility maintenance of site/project office for day-to-day function includes assigning duties to drivers and office boys, ensure maintenance of electrical and AC system of the office, provide necessary logistics for construction and site support team.

Coordinative with various staff for operational support activities of the unit, serve as liaison between departments and operating units in the resolution of day-to-day administrative and operational issues.

Provide administrative/secretarial support for various department/divisions such as answering telephones, assist visitors and resolve a range of administrative issues and inquires.

Co-ordinate and manage Transportation, Visa Medical and Passport arrangement of staff and laborers; in liaison with Branch Office.

Control the incoming documents (from Main Contractor, Faxes/Letters from Supplier, Documents from Branch Office and making entry in the respective Registers).

Monitor the Document Controlling/Distribution/Filing of all incoming/outgoing documents and Maintaining Filing System.

Invoice Tracking: Allot tracking numbers to all Invoices received from the suppliers through accounts, concerned Engineers and stores. Submit the Invoices to the concerned sections and collection post certification of invoice for further approval from Project Director.

Submit approved Invoices to Accounts Department for payment and maintain acknowledgement for the same.

Distribution of Stationary Items, manage petty cash.

Process reimbursement claims, Medical claims, Mobile phone bill claims for staff and operatives.

Control all dispatches to Branch Office and keeping record.

Initiate and maintain all Board of Directors contacts, materials, communication.

Maintain all administrative paper files.

1.Office Administration

Manage Documentation & Filing. Ensure proper maintenance of confidential records.

Monitor and control document flow (inward & outward) of the office

Arrange office programs & event management

Control & monitor the Petty cash for daily /weekly expenses

Manage employee and site transportations.

Manage and co-ordinate with manpower supply agency.

Making PO to all Suppliers .

2.Time Keeping

Record daily site attendance as per the staff and workmen reporting – in and out.

Maintain time sheets and accurately updating time and attendance data into the attendance system.

Verify attendance and hours worked with site construction team and planning.

Track overtime hours and obtain necessary approvals from construction head and project director.

Responsible to keep track of leave records such as on vacation, holidays, sick leave.

Ensure time sheets are submitted to HR, hired agency / vendors, site Planning and Finance team.

Prepare and submit daily, weekly, monthly and ad-hoc manpower report as required by various teams and department.

3.HR Operations

Coordinate with Project Director and Construction Head for manpower mobilization and demobilization – own and hired personnel.

Manage time and attendance for all staff and workmen including timely leave.

Process overtime through proper approvals and checks.

Address and resolve queries related to leave.

Arranging security gate pass to all suppliers and staff. Renew their passes on time and ensure maintenance of records and passport copies in a proper filling system for easy tracking.

Co-coordinate with Camp Administration for tracking daily absenteeism, exit interview.

Process Site Clearance for Staff & Workmen Full & Final Settlement.

4.Reporting

Provide monthly manpower report.

Reports on employee master data.

Time management reports for attendance and absences as and when required by the management.
