Duties & Responsibilities

Plan, organize, lead, direct, and control all activities pertaining to the department head.

Managing the channels of communications between the different departments whom reported to my director in allover the company branches.

The knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures.

Relay directives, instructions and assignment to executives.

Develop relationships with key operational contacts, both internal and external

Determine matters of top priority and handle accordingly.

Prepare correspondence, reports, and materials for publications and presentations.

Maintain hard copy and electronic filing system.

Other administration tasks as filing, general typing, company papers and other meeting document collation and binding, and errands.

Supervise and provide guidance to the Junior Secretary and Receptionist.

Handling of incoming calls for my directors.

Responsible for the day-to-day operations of the director.

Communicating effectively in writing as appropriate for the needs of management.

Schedule and manage preparations for meetings.

Issue appropriate notice of meetings;

Formulate agendas, schedules, and the time allocated to each agenda item, ensuring timely and proper preparation of agenda and presentation material for review/action.

• Dealing professionally with desktop computers and laptops.

Strong PC skills and high proficiency with Microsoft Office Suite products

(Excel, Outlook, Word, and Power Point).

• Do secretarial coordinate; organize papers and files and archiving work.

• Knowledge of AutoCAD program and printing structural drawings, planes.

• Responsible for all company secretarial functions, duties and responsibilities.

• In depth knowledge of secretarial software, office, such as (word, excel, outlook).
