Provide secretarial support to department personnel, and administrative support

Responsibilities:

*Perform a wide variety of general and specific typing assignments and filing

*Coordinate and organize secretarial work flow for the department. Coordinate project follow up

*Arrange meetings or classes. Coordinate meeting rooms, audio visual equipment and materials

*Serve as primary administrative support for specified director and/or department managers. Anticipate needs and take preliminary action. Work with calendars and scheduling to assist Director

*Act as the first point of contact for the department in regards to catering orders, doctors with lounge accounts, vendors, or other duties as assigned. Coordinate meetings and other events by taking the first contact information and determine next steps or place orders per assigned process

*Coordinate committee meetings including scheduling of rooms and participants, ensure all needed equipment and supplies are present for the meeting. Coordinate food and drink for meetings. Take detailed minutes for committee meetings and maintain a file for all active committees.

*Act as the department paymaster, ensuring that time care is accurate and ready for review and submission. Maintains all department payroll logs, time care adjustments and coordinates pay with payroll and Director.

*Coordinates special functions, projects, and activities as assigned
