Staff Assistant (Detail)

Provide administrative support for the office of Tariff Affairs; this includes reviewing documents for internal clearances, proper signatures, and conformance with procedural instructions.

As needed, prepares PDF versions of documents for internet posting.

Assist with keeping Website up to date and preparing content.

Coordinates and updates email list of customers as necessary.

Submits final products for publication, binding and distribution.

Participates in meeting and training sessions to keep abreast of changing technology for computer application for word processing, electronic mail, calendaring systems, time and attendance software, and travel software.

Process all time and attendance records using the Commission’s electronic system and resolves difficulties regarding pay and leave.

Devises and manages the caseload of docket jackets in my direct control. Monitor activities including conducting reviews with other docket specialists from other offices to resolve support issues. In coordination with Docket Teams, maintains regular contact with commissioner and chairman’s office through written correspondence, email, and telephone, including offering appropriate guidance regarding docket requirements.

Actively assist in document review, to ensure that the document is accurate and reflects the information desired, this includes public and confidential documents.

Serves as point of contact (POC) for providing technical guidance and advice regarding issues associated with processing confidential request, distribution of material; Act as system admin to set up and unlock accounts when necessary.

Reviews protective order request for accuracy, completeness, and compliance with applicable rules. Makes direct contact with submitters regarding corrections deficiencies; Ensure compliance with all requirements for gaining access to and handling confidential business/business proprietary information; prepares responses to request to confidential treatment, as well as responses to requests for information; submitting pertinent investigative documents to Electronic Document Information System (EDIS).

Review Legal Pleadings to reconcile Post-Trial exhibit filings and the investigatory records as well as; Post Trial exhibits for hearings; Maintains official logs; ensures submissions/filings are timely scanned, in accordance with Strategic Plan.

Provides clarification and information regarding the content, importance or status of legal materials in official Commission records and proceedings, Commission vote results, general information regarding the status of an investigation, or filing procedures and interpretation of Commission rules. Bases response on either research of the docket files, tracking logs and various indexes, and a comprehensive knowledge of Commission activities and procedures.

Maintains docket data base systems for recording, updating, editing, and storing of docket information. Operates a Smart label printer for printing labels for all service lists, requests, and file folders. Queries databases to prepare and disseminate reports to provide customers with timely information and to provide official docket listings for filing with the U.S. Court of Appeals for the Federal Circuit and Court of International Trade.

Responsible for processing and handling legal documents, responds to telephone, in person, and written requests received from the Commissioners, Commission staff, attorneys representing U.S. Producers, U.S. Importers and foreign exporters, other Government agencies and Congressional offices, officials of foreign embassies and private corporations, and the general public.

Utilizes good judgment, independently assesses the need for other duties to be performed and assumes responsibility for carrying out the work to facilitate the goals and objective of the office.

Ability to analyze information contained in official documents and knowledge of the requirements for processing the documents either in a routine manner or on an exceptional basis.

Skill in determining the intent of persons seeking information in order to provide adequate and accurate responses to inquiries and promote a positive public image.
