Examples of Duties and Responsibilities:

In this effort my primary responsibility was to support the Chair of the Department and his supporting Professors. I maintained and set up his meetings in Microsoft Outlook as well as a few of his Math Professors. I oversaw and supervised three to four Work Study students, as well as approved their Timesheets in the Banner Payroll System. I first had to set these accounts up appropriately in that system so their payments could be posted into their checking accounts bi-weekly. I ordered supplies and handled the Departmental Budget in the Banner system for the department and kept supplies under lock and key. I prepared spreadsheets in Excel and maintained pertinent data for the department. I was basically the Office Manner and had to be effective in whatever the needs of the department were, whether it was ordering keys, Textbooks from the Math Department sources, etc. I handled two desks as if the Work Study students were not in I had to take responsibility for maintaining the phones, answering student and visitor concerns, etc. The Math Department had an online Computer system/Lab that was designed for assisting students in studying for and taking their Exams. This system was designed by Dr. Sharma, renowned Extinguished Professor, for Clark Atlanta University, and was called Educosoft.

I handled sensitive payroll issues in relation to Professors payments, new hire paperwork to ensure all significant paperwork, Policies and Procedures were adhered to. This too had to be input into the Banner system and adjusted into the payment system as designed by Banner via Human Resources. I prepared the Professors' information sheet for students and other personnel seeking phone and room locations for these respective students. I prepared Test packets and the associated spreadsheet reference Final Exams; these packets had to be meticulously prepared in packets for whatever the discipline or class and class number were, with the appropriate Scantrons according to that particular class. I had to assist in preparing information for the upcoming Graduation in May, 2016. I attended necessary meetings relative to Administrative support called by the Dean of the Department of Arts and Sciences. I had to prepare sensitive student information on Passes or Fails and in these instances, I was responsible for taking this information to the Registrar's Office; as students weren't allowed to carry this very sensitive information through. I worked efficiently and effectively with Human Resources on upcoming changing to ensure the Mathematical Sciences Department met all required changes or specifications. There was a lot of filing and I maintained and rearranged the filing system of the Department.

I worked for the Chief of Neurology at the Department of Veterans Affairs Medical Center (Atlanta). The Neurology Department falls under the auspices of the Geriatrics/Extended Care Service Line. Some of my responsibilities included but were not limited to scheduling of meetings through Microsoft Office Outlook, scheduling of interviews, etc., on the Chief of Neurology’s calendar, assisting him with Performance Evaluations and Appraisals, preparing paperwork for Incentive Awards, preparing spreadsheets detailing the Neurology doctors’On Call schedule, preparing the Agenda for the monthly Neurology Service meetings, preparing travel advances/requests and hotel room accommodations, taking Minutes at the monthly Neurology Departmental meetings, transcribing dictated Minutes from Dictaphone on patients Medical Clinic Notes, handling projects and gathering and assessing pertinent information for completion of these projects, handling matters of an extreme confidential nature, and other projects As Needed, or As Required. There were a lot of times that I had to make decisions using my own discretion or professional judgment in order to get the needed results, especially when there were time constraints attached; and dealt effectively with walk-in Neurology patients to ensure their needs were met.

I also had responsibility for the orientation of Medical Students who arrived to the VA Medical Center from EUSOM for a 2-week Rotation with the Neurology Attending Physicians and Residents. This effort entails ensuring that the Medical Students complete and pass the “VA Information Security Awareness FY09” and the “VHA Privacy Policy PowerPoint Training – FY09 on-line,” so that they could be appropriately processed for clearance to acquire their VA computer codes and their CPRS codes.

I answered and took telephone messages for the Infection Control nurses, as well as handled or answered questions that I had knowledge of. I kept the Director's calendar as well as had view privileges of the other RN's calendars. I handled reports and other distributions as needed, typing, copying, etc.; and was effective in assisting in the preparation of the revision of the Infection Control Policies that had to be hand-carried to all of the Section Chiefs in the Medical Center to obtain their signatures. These Policies were very important documents that are directives from the Front Office and the Originals were kept in the Infection Control departmental binders, and copies were sent to the Director's office for their files. I served as Secretary to the Chief of the Medical Specialty Care Service Line (MSCSL). This department heads the various medical specialties at the VA facility. The Service Lines encompass a wide variety of service to the men and women who have served in the Military. These Lines included care of course, for the Veterans and of their complaints regarding treatment or non-treatment from the VA; Resident training; various reports to the Director of the VAMC, and etc. After gathering information and research of these patient complaints, I composed and responded to letters from the Congressman and from the Senator representing the respective district in the state of Georgia, as well as correspondence from the Office of the Inspector General (OIG) who wrote in regarding complaints received from the Veterans. These letters also came from the Veterans themselves addressed to the attention of the Director of the VAMC; they had to be expeditiously responded to in order to resolve the situation and then sent back to the Office of the Director for his perusal and signature. I transcribed Minutes from Dictaphone as well as from hand-written notes of the monthly Section Chiefs Meetings. I handled NATS reports as well as other communications directed from the Office of the Director. I had responsibility for scheduling and posting meetings and/or conferences in Microsoft Office Outlook for the Chief, as this function was one of the most important aspects of this position. I was efficient in answering the telephone and taking effective messages for the Chief; as well as scheduling interviews for the Chief of MSCSL, which involved setting up and creating Itineraries for the interview. I also had day-to-day interactions with other employees and/or managers.

My position was Senior Secretary in the RISK Management Department of Emory HealthCare from October 11, 2007 to January 9, 2008. I assisted hospitals and medical facilities in the Credentialing for doctors who were applying for positions at those facilities. This function was more of a data entry effort which entailed pulling up information from a database to see if in fact the doctor or nurse, etc., worked for or attended school at an Emory facility, then plugging in the pertinent information to verify that person had Medical/Malpractice insurance. This was very confidential information which would include social security numbers, as well as show where they were presently working or where they were trying to secure a position. The doctors had to sign an authorization/consent form to release this information. These requests were submitted to the Office of RISK Management in the form of faxes, telephone calls and E-mails and there was a three-day guaranteed turnaround from the Department to respond to these inquiries.
