OFFICE MANAGER / SECRETARY IV, JACOBS TECHNOLOGY

Key member of Jacobs PMO staff, reports directly to the Assistant Program Manager.

Supports 7 Contract Managers to help maintain all aspects of each of their individual teams to ensure smooth daily operations.

Plan, coordinate, and oversee the day to day development and implementation of various administrative and operational support related processes for the Divisions and Directorates.

Process CAC renewal’s and security badge renewals as well as DD2875 forms. Handles confidential information daily. Assists employees with security clearance investigations.

Coordinate and Process Security Visitation Requests for employees traveling TDY to other secure locations.

Submit documentation to issue new and updated security badges and clearance levels. Maintain detailed records for all employees.

Handle requests for visitor’s entering our locations to include issuance of visitor badge and full review with visitor on our procedures and regulations.

Review, revise and update regulations and publications in accordance with official records management procedures.

Prepare correspondences, reports, documents, briefings, charts, graphs and statistical material for ATC Command.

The Daily Schedule is also used to determine if the company should hire additional support or possible lay-offs.

Use’s quality assurance daily through each step of the process for scheduling of employees.

Maintains all training records to be sure each employee completes monthly company / government requirements to stay in compliance. This includes: Workplace Harassment, Privacy Act, Insider Threat Awareness, Annual Safety Training, Annual Security Training, ITAR Training, Export Compliance Training, iWatch Army Training and On the Job Training.

Conducts full inventory control on all EDL’s that have been assigned on a monthly basis. Documents and tracks all correspondence to include any type of damages, malfunctions or updates.

Schedule, coordinate and prepare monthly safety meetings to include scheduling topics, taking and preparing final meeting minutes, attendance roster and distributing newsletters and various safety procedures to the workforce.

Maintain a contractor roster for issuance of AMMO and Weapons. This requires each employee to sign and abide by the Lautenberg Amendment Acknowledgment Agreement to ensure that all personnel are aware of their responsibilities for the control and safeguarding of Arms, Ammunition, and Explosives.

Assist in coordination of interview processes to include scheduling interviews, preparing screening/interview binders, and providing directions and instructions for candidate.

Assists with inventory of all sensitive property that is assigned to each employee quarterly as well as providing documentation for tracking purposes. Also assists with full property accountability to all employees annually, this audit requires full hands on verification. Tracks hand receipts to ensure accuracy for quarterly audits. Documents all property transfers and turn-ins between contractor and government employee.

Prepare and process all travel orders and vouchers for employees through the Defense Travel System (DTS).

Maintain up to date records and scheduling of all exams/physicals for 733 employees with WorkMed.

Maintain time and attendance records for employees through SALTT and a PeopleSoft database.
