Office Supply & Break Room Supply Ordering:
Purchasing administrator for the Staples national account for the New York office. Place weekly orders for coffee, bottled water, sodas, cups, cleaners and general office supplies. Maintain supply room to ensure everything is neat and readily available. Restock copy rooms with paper, pens, markers, file folders, etc. as needed.
Corporate Catering & Meeting/Event Planning/Floral & Gift Purchasing:
Place orders for breakfast, lunch or snack requests for in-house meetings, as well as plan the office holiday luncheon at various venues. Work with caterers and restaurants to ensure we get the best quality of food and service while not exceeding our budget. Place orders for floral arrangements and gifts as requested. Ensure reception area is neat and presentable. Decorate office as needed for holidays and United Way Campaign events.
Payment of Vendor Invoices:
Review and prepare invoices for payment via the accounts payable APNet system
Photo Copier Maintenance:
Office administrator for clearing jams, placing service calls, ordering copier supplies, and replenishing toner cartridges
Off-site Record Storage Maintenance:
Office lead for coordinating box/file retrieval, entering new box/file information into Iron Mountain web site, working with department managers when sending new files off-site to ensure files are labeled correctly and boxes are prepared in compliance with our Record Retention Standards. Facilitate the yearly RID Event to authorize destruction of files that have met their retention periods.
Print Needs & Newspaper Subscriptions:
Place orders for business cards, name plates and stationery. Maintain subscriber lists for the Wall Street Journal account. Add and remove subscribers as necessary.
Mail Center Assistance:
Work with mail center staff when needed to help deliver mail within the office and prepare outgoing FedEx mail.
Manage Car Service Vendors:
Administrator for several car service accounts. Work with account representatives to resolve any invoice issues or complaints made by employees regarding their pick up experiences.
Conference Room Set-up:
Ensure all requested supplies, including food if needed, are in the reserved conference rooms for all meetings.
Furniture Purchasing:
Assist the facilities manager with the purchasing of chairs, tables, bookcases, etc.
Liaison with Building Office for Services and Repairs:
Notifying Building Office when contractors are coming to our office to do repair work, construction projects, large deliveries – reservation of freight elevators – requests for electrical or plumbing repairs are needed, office temperature control, and cleaning services.
