Manage the post closing department for the largest independent real estate company on the West Coast. Responsible for processing all closed files in a timely manner including preparing and overnighting executed loan packages back to Lenders; remittance of payoffs, tax payments, FIRPTA payments, insurance binders, and contractor payments for repairs. Review all executed documents prior to recording for accuracy; and, obtain necessary permissions to correct documents and/or follow-up with all parties to get re-executed if needed. Forward all recorded mortgages with loan policies to Lenders; forward all recorded deeds with owner’s policies to Buyers; return all recorded Death Certificates and recorded Durable Power of Attorney to Sellers. Follow-up on Mortgage Satisfactions, Lien Releases and Discharge of Lis Pendens. Follow through with all escrow holdbacks (FIRPTA, taxes, repairs). Once all Releases are recorded and, the file has a zero balance, the entire file is scanned and saved into the system. I was single handedly responsible for the proper post closing and compliance for multiple branch offices of multi-million independent real estate company!

Work in branch office of corporate owned national title insurance company. Responsibilities include assisting Realtors, Lenders, Buyers and Sellers with the process from contract through closing. Gather all necessary information to order survey's, municipal lien searches and payoff statements for all mortgages, delinquent taxes, association fees, etc. Ensure that all items are cleared in a timely manner, and that updates are constantly provided to all parties to make for a smooth and stress-free closing experience. Answer phones and provide customer service as well as price quotes. Open files (traditional, short sales, refinances) and gather all pertinent information and proceed to order payoffs of mortgages, taxes, contractors, surveys, association and municipal estoppel letters, etc. Perform necessary amendments and updates to title commitment and prepare for closing, Keep in constant communication with all parties to the transaction (Buyers, Sellers, Realtors, Lenders, Surveyor) to ensure all is up to date and ready to close. /obtain HUD approval. Coordinate closing time with all parties and provide copy of HUD Settlement Statement for review, once approved and balanced. Check lender/servicer websites several times daily to receive orders. Once BPO’s (Broker Price Opinions) and Listings have been accepted, and the paperwork has been executed by the client, a file is opened and the property information is input in the database. Check property for HOA/COA liens; verify tax information; verify status of title. Assign property to team agent and provide specific client instructions and documents obtained. Order property management company to inspect property and provide written report and pictures regarding the condition of property. Oversee the cash for keys process if the property is still occupied. Order the rekey/securing of property and turn on utilities if property condition allows and order sign if allowable in community. Coordinate with assigned agent to ensure the property is inspected weekly, and that all reports are submitted in a timely manner. Update asset manager immediately if any changes to property condition; discuss marketing tactics and price changes. Oversee the contract process to ensure that all deadlines are met (escrow deposit; inspection period; financing contingency; and any title issues. Review HUD-1 and complete in-house paperwork for commissions once received from closing company.
