Legal Administrative Assistant
Supports delivery of quality legal services to clients by providing administrative and specialized secretarial and administrative assistance to attorneys and/or paralegals collaboratively and cooperatively with others in a team-oriented environment. Supports specific attorneys and/or paralegals as primary assignment while providing back-up administrative assistance to other attorneys as part of team coverage.
Duties/Responsibilities:
PROOFREAD all documents with a high degree of accuracy, frequently drafting documents for attorney review and use;
Revise and redline/compare documents (utilizing track changes and/or workshare Compare programs as directed);
E-filing in State (IEFS), Federal (Indiana – USDC N.D., USDC S.D., as well as several other states), and Appellate court systems;
Transcription from Dictaphone, handwritten drafts or verbal instructions with a continual attention to detail;
Review/manage ALL incoming mail, email, fax communications, etc. Prepare/process ALL outgoing mail, email, faxes, etc., as well as arrange for specialized mail or messenger services as required;
Send/receive/screen telephone calls courteously, professionally and in a clear, concise, well-organized manner, directing clients and visitors appropriately;
Professionalism and client confidentiality maintained always;
Schedule/maintain/update calendar (manual and electronic) and submit deadline reminders through docketing system for attorney conferences, depositions, etc., including all court dates (hearings, depositions, trials, etc.), client meetings, non-client meetings, due dates, and multiple various other activities;
Open new files, maintain all client/general files; perform routine filing and retrieve files as needed; maintain chronological/administrative files for assigned attorneys; close files as needed and/or transfer files due to various circumstances;
Possess strong organizational skills;
Enter/proof daily time entries; review/edit client pre-bills; prepare billing letters (as required) and/or coordinate client billing matters with Accounting Department; prepare appropriate reimbursement/disbursement requests;
Make travel arrangements/submit reimbursement forms as necessary;
Demonstrate effective teamwork providing assistance to other legal admins as time permits or in their absence as part of “team coverage”. Perform other related secretarial and administrative duties as assigned and work cooperatively with other departments and individuals in the firm;
