Front Office/Main Duties

Answer multi-line phone, sometimes for multiple offices, put away dishes daily, clean coffee maker daily, fill Kuerig, stock coffee supplies, fill snack basket twice a day, turn on TV with projects program, receive and distribute incoming mail and packages, mail/overnight packages to clients. Tracking /ordering office supplies, tracking/ordering coffee and snacks, ordering bond/mylar for plans, take care off office machines such as Ricoh (copier/printer/scanner), OCE and HP Plotters, doing meter counts, faxing using 101 Voice online faxing, maintaining the scanner information, responsible for creating folder and maintaining the filing for all contracts, master agreements, proposals and ASR’s, maintaining spreadsheets to help keep track of said contracts, master agreements, etc., schedule out conference rooms, took care of the majority of the purchase orders (typing, getting them signed and scnanned to accounting along with the backup paperwork, kept a credit card log of all purchases made with the company credit cards, processed the petty cash, created forms for easier office flow of tasks, formatted documents for SOP (Standard Operating Procedures), back up my department by watering plants, stocking the fridge, entering of all projects into database “Ajera”. Do any research needed for all departments.

Engineering Department

I type up response letter for projects, letters, transmittals, and memos. Print reports, RFI’s and plans. Help put together packages to be sent to clients. Work with vendor to set up Brown Bag lunches by getting the lunches order and delivered. Delivering plans and packages to clients when necessary,

Surveying Department

Ordering survey supplies for the field crews (lath, paint, scribes, etc) also ordering safety equipment such as safety glasses and safety gloves, etc.) Ordering any item that they surveyor may specifically need for projects. I typed up legal descriptions, entering our projects into Google Earth, making travel arrangements for when the projects required overnight/multiple days. I typed up proposal, transmittals and letters.

Marketing Department

Print out request for proposal/qualification documents and make folders for marketing packages,

Help to gather information for the marketing packages. Help with making tabs, folders and whatever else is required for the marketing packages.

Make deliveries of marketing packages (these are time sensitive packages).

Human Resources Department

I helped distribute items, mailed confidential items, help prep cubicles for new employees, gave welcome aboard tours of the office.

Accounting Department

I helped account with issues that needed to be resolved in order to pay or be paid.
