Worked as Administrator Assistant in a fast paced environment, responsibilities such as answer telephones and take incoming calls for referrals from Physicians, Child Protective Services and families for program. Enter all pertinent information into two databases, the Program database and State database then assign to appropriate staff under strict deadlines and timelines. Also, answer questions and route messages to appropriate staff. Process incoming and outgoing mail routing inter-department mail within all PBCC Administration offices along wirh the Odessa ECI office. Maintain all office filing and charts as necessary, .

Receive and process all Therapist' Billing invoices. Includes verifying there is documentation for every invoice charge on invoices and returning incomplete work back to staff for corrections. Fax/scan completed invoices to accounting dept. for processing. Verify Medicaid and/or Ins. on all cases daily that are processed and enter into two databases accordingly.

Verify Medicaid and/or Ins. monthly for programs full caseload, update information for cases as necessary on all admitted clients in program to ensure accurate billing process. Maintain spreadsheets of comlete active admit/discharge list and update all information such as personal and service related information accordingly. Continue to update these list' on Excel spreadsheets.

Maintain all Therapist' Annual Contracts along with processed billing invoices. Maintain continuous scanning of records into the Electronic Medical Records Program. Follow up on insurance changes on billing report from the billing dept. and update as needed for discrepancies.

Maintain records for all staff for additional information needed or corrections to be made and scan into system after all signatures have been obtained.

Run several reports from the State Database throughout the month to ensure all data is complete before submitting to the State Office. These reports include processing and modifying the Data Entry Report, the Delivered Services Report, Evaluation report, and the Global Action Report for staff to review their full caseload for needed or corrected information. Complete Reports as requested from Director and Supervisor weekly from State Database, correct information as needed.

Comlete all reports by mid month before closing out information for the State Office. Proficient in Microsoft Word, Outlook and Excel.

Required to travel as liason to ECI Odessa office as needed to complete additional responsibilities and train new staff as needed.

Take inventory and order supplies as needed for three offices. All responsibilities are performed under strict and timely guidelines required by the State Office. Supervised staff as needed directed by Program Director. Physician Assistant
