- Provide administrative support for Project Managers and Assistant Project Managers for construction field office and main office on (4) multimillion dollar projects.
- Coordinate information flow between field personnel, subcontractors and design teams.
- Maintain set of current project drawings.
- Prepare, distribute, and track Subcontract Award Packages, Subcontract Change Orders, Purchase Orders, Purchase Order Change Orders, Request for Information, Addition Work Orders, submittals for project, Conditional and Unconditional Waivers for payment.
- Maintain all related project logs.
- Maintain updated Certificate of Liability and Workers Compensation Insurance Certificates. Track and maintain building permits.
- Assist accounting with processing sub-contractor invoices.

Project Administrator
- Provide administrative support for Operations Manager, Project Manager, Estimating Department, Drafting Department, & Human Resources.
- Document control for projects and estimating department.
- Create contracts and job costs in Timberline for awarded projects. Submit Target applications when needed.
- Create Purchase Order using Timberline for shop material, equipment rentals, and material for all active projects order. Also, follow-up on all back orders, inform Operation Manager & PM when material(s) for project(s) arrive.
- Process, log, file & maintain all RFI’s, Subcontractor Contracts, Project Contracts, & Invitations for Bid.
- Enter change orders, stock material, metal material and tool inventory for all active projects into Timberline.
- Assist Human Resources with on-boarding and off-boarding union laborers. Confirm all labor rates and union dues are correct for new union laborers.
- Collect all labor weekly time sheets/hours via email, phone/fax and enter to Timberline.
- Print reports from Timberline such as job costs, certified payroll, OCIP, drafting and man hour when requested.
- Maintain all project folders including but not limited to submittals/drawings, change orders, and purchase orders.
- Print drawings and highlight take-offs in a timely fashion and deliver to shop foreman for fabrication. Also, distribute copies of drawings to the field foreman.
- Archive completed project folders when requested.
