Key Responsibilities / Minneapolis Northwest Tourism

Manages the reception area to endure effective telephone and mail communications both internally and externally to maintain professional image.

Performs general clerical and administrative functions and assists the Executive Director in day-to-day operations of the office.

Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.

Coordinates the timely purchase of office supplies and equipment.

Assists the Executive Director in the leasing of the company vehicle (s) as required, and the installation of company branding on the shared vehicle.

Server as point person for office maintenance, repair and equipment including copier, server, phone equipment, kitchen appliance etc.

Maintains positive relationship with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.

Responsible of purchasing all promotional products.

Keep and maintain accurate files for all office vendors and service providers.

Files and archives accurate records.

Negotiates and manages all insurance contracts.

Prepares neat and accurate reports for Executive Director as required.

Recording Board of Director Meeting Minutes.

Coordinates and assists in setting up meetings for staff, board of directors, holiday party, annual meeting and other meetings that arise.

Recruitment/Staffing

Conduct orientation of new staff members to include employee handbook, building tours and benefits.

Encourage adherence to policies and procedures.

Responsible for completing and filing all new hire employee documentation and paperwork.

Prepare off-boarding paperwork for terminations.

Act as human resources as liaison with Cobra, Health and Dental, Life, STD & LTD, 401K.

Payroll

Act as primary contact for payroll service provider/ADP.

Assist in development and implementation of payroll policies on a timely basis.

Manage work flow to ensure all payroll transactions, such as new hires, terminations, benefit changes and employee master information changes are processed accurately and timely for all payroll entities.

Monitor and accurately record all vacation and paid time off.

Perform quarterly and year-end compliance testing for payroll.

Financials & Reporting

Assist in managing operating expenses and purchasing for the bureau.

Accurately perform accounts payable process as needed to insure timely payment of outstanding invoices using Quickbooks.

Accurately perform accounts receivable process daily or as needed.

Accurately perform daily, monthly and year end banking.

Audit preparation for accountant, monthly and year-end.

Balance sheet preparation monthly and year-end.

Prepare accurate and concise reports periodically for the Executive Director and other staff members as needed. Such items include profit and loss statement, lodging tax revenues analysis, sales data reports, etc.

Allocate and monitor company credit cards.

Relocation Facilitator

Coordination and research of cost comparison and building appraisals for office relocation.

Primary goal is to move the office with minimal disruption to our business.

Determine needs and expectations and project schedule with all the groups facilitating the move.

Responsible for sharing relevant move coordination information with the staff.

Coordinates and works with the voice/data orders.

Work with IT support to manage the move of all electronic equipment such as the computers, copy machines, telephones etc.

Determine all interior and exterior signage.

Coordinate and distribute building access and keys for employees.
