Maintain daily calendar for Director of Housing, Assistant Housing Director. Coordinate travel arrangement for Housing Office Staff. Complete check requests for travel and complete Travel Reimbursement after travel is completed.

Point of contact for Housing Office for reserving Conference Rooms. Set up conference room with appropriate supplies.

Compose agenda’s, send out email notices to all employees attending meetings. Create Power Point Presentations when needed. Compose Training Manuals for office use or distribution to the public. Keep accurate files of staff travels and approval forms, complete and submit Check Request to pay for Conference Registrations, Hotel and Per Diem per day, or affiliation fees.

Plans and coordinates activities for students and staff. i.e., Fall Fest, Spring Fling, Nightmare on Moore Street, Office Birthdays, Christmas Parties, Thanksgiving Luncheon, Retirements also assist Dean of Students with Family Weekend.

Assist Housing Director and Assistant Director, with daily office work, in creating spreadsheets in Excel, typing correspondence. Picking up and distributing mail and replying to requests. Also maintain a filing system that contains all important correspondence and personnel records for our Office. Process and maintain copies of new hires, resignations, pay increases, and terminations.

Deal with vendors and suppliers in ordering all supplies and equipment for our office. Process invoices and process Purchase Order Requests and Check Requests to pay vendors.

Handle all bookkeeping in our office, making daily deposits of housing payments and renewals. Post charges and payments to student account.

Maintain all Confidential information, such as personnel records, for our department, to include PIF’s ( Payroll Information Form), new hires, resignations, Background Checks, for the Residence Life & Housing Office. Collect and maintain personnel information for CA’s (Community Assistants) and student workers. Complete and process all Human Resource forms for employees and Student Workers in our office.

Responsible for Office Petty Cash in approving and processing requests and reimbursement receipts of purchases by staff.

Responsible for Housing Budget updates on expenditures and transferring funds from one budget to another.

Manage property day to day operations of a 56 Unit Tax Credit Property which included:

Collect and process rent payment on YARDI Software

Set up inspections for Elevator Certification, dealt with all vendors, such as Landscapers, Locksmith, AC repairs, roof repairs. Made sure the property passed DCA standards for no Health Hazards.

Processed all Invoices for Property through YARDI Payscan Software.
