Maintain building schedules relating to staff vacancies; prepare vacation request forms; assign employees to open projects; create termination personnel documentation for temporary workers.

Utilize a customized computer system to input data, including labor hours, payroll hours, work tickets, job tickets, etc. for submission to the Accounting Department. Prepare and reconcile client invoices. Administration Support:

Coordinate the full range of maintenance services for approximately 100 properties ensuring a streamlined operation. Serve as liaison between vendors and clients. Work closely with Property Managers.

Interact with numerous vendors to schedule maintenance jobs, negotiate pricing and obtain proposal requests. Ensure timely completion of jobs and adherence to proposal specifications.

Provide ongoing staff training; execute ad-hoc requests for reports, meetings, project statuses and client/vendor updates.

Maintain business/personal calendars; schedule and confirm meetings and appointments, and create expense reports. Interview, select and train new hires in corporate policies and internal systems. Delegate assignments and monitor work performance.

Interact with executives and high-profile clients, vendors and sub-contractors; handle client inquires in a diplomatic and professional manner; handle questions and resolve issues. Order supplies for the office.
