Responsibility:
As a contract and administrative officer, I was part of the TMSA Finance and Administration Team and contributed to ensuring the effective and efficient day-to-day operations of the TMSA Project Management Unit (PMU) and implementation of its projects. In particular, I was responsible for the following tasks: 1. Contract Management and Project Support:
Setting up and maintaining a contracts management and monitoring system.
Drafting contracts based on terms of reference and information provided.
Managing the contract management system to monitor the contracts activities in terms of deliverables, payments and maintain the record-keeping of all correspondence and reports relating to the contract administration. And I have supported the fruit fly project in Zimbabwe, Zambia, Malawi and Swaziland; sourcing projects equipment, making sure they are delivered on time and processing payment request.
2. Office Administration and Logistic Support:
Provide full administrative support to the finance management and projects team.
Prepare departmental correspondence, documents, reports and filing.
Scrutinizing invoices, checking consistency against the contracts and deliverables and process payments.
Assist in budget preparations
Schedule, plan and coordinate meetings, workshops and appointments.
Managing imprest, tracking expenses and reconciliations
Set up and maintain payment register and exchange spreadsheet.
Record keeping, filing, photocopier, productions of meeting documents, binding, photocopier, attending to queries, managing telephone calls, emails, fax, scanning collections and delivery.

Reason for leaving: The programme has ended on 17th March 2014. TMSA was a GBP100m five years programme, funded by the UK’s DFID, supporting the regional integration processes of East and Southern Africa. It worked in support of the activities of the COMESA-EAC-SADC Tripartite process.
