Duties: Position is responsible for the collection and scanning of documents created for active offenders within DOC. These duties include: maintaining the electronic offender records, for the DOC, by utilizing the technical software package to scan, process, index, review, save, store and provide quality control. This position researches and retrieves documentation in compliance with standards and rules established for the protection of information, the safety and security of the facilities, staff and offenders. This position utilizes standard practices for the identifying, sorting and preparing of the documents in order to effectively complete the scanning process. Ensures the quality of incoming documents and that they are correctly scanned into the proper categories in compliance with standards and rules. Position gathers information for reports and files using available resources including a variety databases such as: DCIS, spreadsheets, court documents, etc. This position is also responsible for explaining the system rules and procedures to others and training them to maintain the Active Offender Files Format in coordination with the area supervisor. In addition, this position ensures quality and quantity of files are accurately based on standards. I have assisted in developing a desk manual for the assigned duties in the department, created assignments for employees on a monthly training on the operations of the unit. The understanding of NA, COR, NC/PV, PV, PBR, NAR, YOS and TPV files. These files are then put together, by scanning, daily file receipt, backlog, mail, inventory, intake, intake files, testing, understanding the Montez forms, cover sheets, equipment repair, parole files, file ordering, high profiles, QC files, label-tabs, medical drawer, out-of-order documents, PSIR scanning, putting files down, supplies, separator sheets, shedding certain non-important papers from the files. I currently cover for the Admin III in hearings, this position’s responsibilities, is scheduling, hearings for the hearing officer’s, and to set up phone hearings for other facilities, to make sure the hearing results are ready to be read throughout all the DOC facility that the offenders are currently assigned to, setting up spreadsheets, that show activities of their sanctions, schedules, appeals, and expungements. Update all sanctions in the computers, signing for appeals to be reviewed my the appointing authorities.
