CAREER EXPERIENCE

Administration

Manage the day-to day operations for reprographics, records, copy & document services, mailroom, fax department and I.T. Tech support.

Responsible for maintaining daily, weekly, and monthly logs, reports for monthly billing such as reprographic & document service request, binding & copying projects, shipping assignments, hospitality, internal moves, etc.

Ensured that the Vendor(s) Certificate of Insurance (C.O.I.) is up to date.

Liaison between DSC and FM sites

Negotiate/manage contracts with UPS, Federal Express, Messenger services and Vendors.

Account payable; check invoices from Vendors, FedEx, UPS, and USPS to make sure all orders are correct and the proper account(s) are being charged.

Responsible for making sure employee time is entered correctly and reaching out to site managers if discrepancies are found to ensure the proper corrections.

Responsible for implementing procedures in new location, creating process maps for all departments and creating user Manuel. Reconfiguring the location for maximum proficiency, cross training staff and newly hired employees with newly site procedure.

Training and Development

Train staff and FSR (Floater(s)) on new equipment and software such as iPro and Relativity, copy machines and binding equipment.

Made sure the staff was scheduled to take Webinar classes (WebEx).

Cross trained the departments to ensure the proper training is provided for the changes within the Office Services department.

Trained staff in conference room set-ups including audio/visual equipment, furniture configuration, food/beverages, and troubleshooting office services equipment. .

Customer Service

Create, maintain and enhanced strong customer relationships across various levels by implementing office procedures, employee management, staff development and training new employees on policies and procedures.

Responsible but not limited to copy center, distribution of mail, arrival system, sending and delivering faxes, ordering and stocking supplies, provide conference room hospitality, reception coverage, processing packing slips for end of day outgoing courier service i.e. (FedEx, DHL, UPS, and USPS)

Assisted IT with Onboarding and Outboarding of employee(s) and part time associates and video conferencing setup.

Setup offices with computers, keyboards, mouse, telephones and basic office supplies.

Trouble shooting and repairs of office equipment such as Computer, phones, network connection, mail, fax, and copy center machine etc.

Responsible for handling time sensitive, confidential and urgent packages while consistently adhering to business procedure guidelines.

Responsible for the maintenance and compliance of office standards for the mailrooms, kitchens, pantries and common areas throughout the firm.

Maximize profitability through the effective utilization of labor and resources by ensuring all jobs are completed efficiently, accurately and within deadlines.

Process high volumes of incoming and outgoing mailing packages and messenger services request.

Order office supplies, office services supplies (copy and mail area) and panty.

Take documents to court as needed.
