Job description:-
Taking minutes in all meetings of the Council, Standing Committees and statutory structures.
Prepare and distribute Agendas for all Council and Standing Committees.
Prepare necessary logistical arrangements in relation to all statutory meetings like venues, attendance registers, refreshments and any documents.
Ensure that minutes of all Council, Standing Committees and other statutory structures are filed according to the Municipality’s Records Management Policy.
Liaise with all heads of Departments and other Officials in providing necessary support to all Council Structures so as to expedite implementation of resolutions taken.
Perform any other duties that may be delegated by the Supervisor.
Keeping records of material filed or removed, using logbooks or computer databases.
Tracking materials removed from files to ensure that borrowed files are returned.
Classifying data according to criteria such as content, purpose or chronological, alphabetical or numerical order.
Finding and retrieving information from files in response to request from authorized users.
Scanning or reading materials to determine how and where they should be classified or filed.
Creating new records as required or adding material to existing records.
Placing materials into storage units according to classification and identification information.
Assigning and recording to stamping identification numbers or codes to index materials filling.
Perform reception duties for the Municipal Office; greet visitors, receivers and transfers telephone calls as required.
