Responsible for overseeing the day to day operations of an outpatient counseling center including: direct supervision of administrative staff (interviewing, hiring, training, supervision both of day to day monitoring and formal supervisory sessions, scheduling, payroll, personnel and human resources documentation, disciplinary actions, and terminations) as well as indirect supervision of the clinical staff; facility scheduling of all staff and client appointments including evaluations, admissions, group assignment, and monitoring group attendance compliance as well as overall counselor and facility census review and monitoring; Serve as a primary contact for referral sources, funding sources, and internal departments; Maintain facilities billing systems including weekly census monitoring as well as co-created a regional wide billing training; Monitor client balances, payments, and payment arrangements; Review and process EOB’s as received for needed re-submissions/client invoices of copays/coinsurance/deductibles, and/or adjustments. Quality Assurance and Utilization Review management of charts; Marketing (including off site visits and meetings for West Shore Outpatient marketing endeavors, collecting and summarizing referral data into monthly marketing reports, and attending regional marketing meeting as scheduled) as well as monitoring the referral flow to the facility; Monitoring facility safety, compliance, capacity, and regulatory needs for Department of Drug and Alcohol, Single County Authorities in four counties, CARF, third party payer requirements and regulations, and Gaudenzia regulations/standards; Statistical reporting; Prepare Request for Programming and Information (RFP/RFI) proposals annually for contracting for funding; Conduct, monitor, and report facilities fire and evacuation drills; Maintain Petty Cash; Run the daily operations of the front receptionist desks including receiving new client intakes, handling priority and crisis telephone calls for possible detox assessment, as well as in person interactions with clients and/or referral sources. Redeveloped the After-Care Group and facilitate this group; and Developed an Addiction Awareness Program for Youth – the .5 level of care. Conduct intake/evaluation sessions with clients as needed for coverage. Also can provide OP group coverage if needed and available. (This position was a promotion from the below listed Administrative Coordinator position which entails all of the same duties but I was overseeing two facilities (WSOP & HOP in my new role from May 2013-August 2015).
