A.Admin Related Activities:

Role: Works with minimal supervision to provide comprehensive administrative services for a Location. Includes work planning & prioritization, establishing effective routines & adhering to defined procedures to ensure all work is accurate, complete, and in accordance with local, corporate & legal requirements.


1.Creates timely & accurate accrual listings for invoices and purchase orders & submits to the Manager for approval prior to submitting to Finance.

2.Monitoring and managing the company related contracts & documentation.

3.Supports the manager in processing invoices by performing defined checks on invoices and matching paperwork when appropriate. Records & retains copies of invoices and obtains appropriate authorization prior to submitting for processing.

4.Closely Co-ordinate with Vendor, inquires about the next development plan, define clearly the requirements, communicate changes that is made, and use appropriate methods.

5.Documenting the Vendor relationship Contract Issues, Supervising and monitoring of Vendors & maintain Appropriate Reports.

6.Record Maintenance of the Vendors which examined the Accounts details and timely report to Vendors on the Supply & Requirement

7.Close Study on the Various Suppliers in the Market that satisfies the Organisation’s Purchase needs. To Ensure the Quality of the Products. Ensure compliance in meeting the regulatory requirements.

8.Supports the Manager by collating accurate & timely payroll related information and ensuring it is authorised and passed to payroll/agreed contract in accordance with defined procedures for the Company’s Vendor.

9.Creates and maintains effective information management systems/processes to store financial/operational/employee data in retrievable & secure formats.

10.Supports the management team by performing general administrative functions including arranging travel, co-ordinating meetings, typing presentations, memo’s etc.

11.Maintains records of all transactions & submits details to Finance department.

12.Supports the Manager in reviewing & tracking ongoing financial performance by performing research/checks on defined elements, updating spreadsheets etc.

13.Ensures all supplier orders are correctly raised and authorised in accordance with Finance procedures. Monitors, controls & distributes supplies in accordance with local procedures.

14.Collates information & creates standard and ad-hoc reports on any type of location activities & copies & distributes as required by management.

B.Security Screening Role :

Role: Contributes to the achievement of goals relating to the safety and security of International shipments. Performs defined security screening of all shipments moving airside for loading onto aircraft. Performs defined security checks that protect the aircraft, personnel and shipments.


1. Achieves compliance by adhering to locally defined safety procedures that incorporate regulatory requirements.

2.Performs screening of all shipments in accordance with defined procedures. Remains focused on identifying any potential explosive or suspicious substances. For potential explosives promptly escalates the situation, for any suspicious shipment segregates for additional security checks.

3.Performs physical checks on suspicious shipments in accordance with locally defined procedures. Includes escalating ‘exceptions’ and re-sealing compliant shipment for onward processing.

4.Performs defined maintenance tasks on screening equipment and makes accurate updates of actions taken in the service log. Escalates problems identified using the established procedure.

5.Creates accurate and timely entries in the screening logs. Documents details of all ‘security exception shipments’ examined, including the outcome of the checks, as defined in local procedures.

6.Keeps updated on changes to procedures and requirements relating to security checks and compliance. Includes participating in training/learning events and reading updates provided.

7.Performs miscellaneous security and administrative duties in accordance with management/team leader instructions. May include providing operational cover in contingency situations.

C.Customer Handling Activities:

Role: Customer Handling – Complying Customs Policies & Adhering to Company Policies.


1. Providing Optimum Customer Experience through courteous and professional Customer communications.

2. Takes ownership of issues / requirements and seeks appropriate support/advice as needed in order to provide the required solution.

2. Follows defined procedures to ensure that all Customs related handling are opened and correctly processed within required timeframes. Includes identifying and initiating actions needed to resolve the problem and enable the timely processing of the shipment. Involves Customer contact to obtain information and provide updates on the status of progress.

4. Involves providing a clear explanation to the Customer and Customs, completing and presenting customs documentation, and making relevant system updates.

5. Reviews data for each shipment to identify exact Customer and regulatory requirements, together with the accuracy and completeness of documentation supplied

6. Uses established processes to research and resolve routine Customer and Customs disputes related to clearance/transit of goods.

Handling a team on shift basis for smooth operation of aircraft

Monitor that all equipments are handled properly to ensure safety of aircraft.

Monitor the customs clearance of inbound and outbound activities
