This position was a senior level General Clerk IV – Data Entry. Providing support in the Sexually Transmitted Disease (STD) Program. Performing complex and advanced clerical duties. This position is an important safeguard of data integrity and must fully understand all processes associated with medical records, field records, epidemiologic reports, case records and morbidity reports.
Data Entry and Morbidity Reporting:
Scans/Enters patient consent to treat forms, registration forms, HIPPA information and all Lab results into the electronic health record (EHR) system daily. Record searches using the EHR system on all positive laboratory reports and forwards to the surveillance coordinator that require treatment. Researches and send letters to those who need to return for additional vaccines.
Processes all lab results reports from the DHMH Maryland State Lab, STD clinic including clinics within the health department, private doctors, hospitals and other health facilities. Contact other facilities for additional information needed so the information can be entered into the state data base (PRISM).
Reviewed all Hepatitis Labatory results and ensured that the clients returned for the second and third vaccines and send letters to those who did not need to return or needed to be scheduled back to the clinic to see the doctor for further evaluation.
Records and Reports:
Reviewed EHR and HIV encounter forms daily to complete HIV testing statistics daily so that a monthly report and quarterly reports can be compiled for the division chief, clinical supervisor and disease control specialist (DIS) supervisors.
Receptionist:
Got the front desk area Sat up and activated phones by 7:30 am. Made sure all advance appointments for the day was entered in the EHR system. Checked the scheduled from the previous day to ensure that all clients that did not show for their scheduled appointments were moved to the No Show area. Scheduled appointments by phone for the day as well as advance appointments that were scheduled by the doctor, PA’s or the Disease Control Specialists. Open clinic up by 8:00 am, registered clients as the came into the clinic for their appointments. Collected donations and payments including insurance cards. Scanned insurance cards into the patient record in the EHR system for the billers and collected copayments. Assigned clients to the doctors and PA’s accordling and fairly in a timely manner. Send all calls to the appropriate staff when needed. Counted out all monies that were collected that day and prepared for courier pick up the following day. Made sure all front area computers were closed down and all patient information was locked securely.
