Duties
Assist in preparation of the Procurement Plan for Sharks Board;
Consolidate requests for quotations from Business Units;
Assist in drafting specification for required goods and services;
Prepare requests for quotations and invite suppliers to quote;
Invite suppliers to attend briefing sessions and prepare the briefing session documentation including briefing notes and attendance register;
Invite suppliers to quote through e-tender portal and handle potential supplier enquiries;
Ensure that the submission/ requisition comply with internal policies, delegations, Treasury Regulations and Instruction Notes;
Ensure that funding is approved and signed by the relevant head of department;
Confirm that invited suppliers are registered with the National Treasury Central Supplier Database and are not on the list of restricted or prohibited suppliers;
Receive hand delivered or emailed quotations from suppliers, ensuring that suppliers submit all standard bidding documents, supporting documents and disqualify late submitted quotations;
Administer the evaluation process using the evaluation method stated in the invitation to quote and the Preferential Procurement Regulations 2017;
Submit all evaluation documents to the Sub-Bid Evaluation Committee;
Submit recommendations of the Bid Evaluation Committee to the Sub-Bid Adjudication Committee
Ensure that the awarded supplier is tax compliant with the National treasury central supplier database;
Ensuring that the awarded supplier is not is not restricted by the National treasury.
