Roles & Responsibilities

Human Resources Management Tasks:

Arrange booking reservations and leave settlements for employees going for vacation.

Responsible to complete residence formalities such as medical checkup, finger prints, for all new employees of Company timely.

Composes various letters related to HR and personnel matters including salary certificates, no objection certificates, letters requesting opening bank accounts for new letters.

Monitor time and attendance records.

Prepare LPOs for payment of air tickets to Travel Agencies.

Maintain employment files and records per company policy and legal regulations.

Coordination with the Admin & IT for issuing new users, swipe cards and privilege card requests if any.

Maintain good relationship with PRO to facilitate the visa procedures

Issuing and renewing Residence Permits (Iqamas) for Existing and new employees.

Issuing Exit and Entry Visas for Non-Saudis Employees.

Issuing Medical Insurance Cards to the employees and their dependents.

Prepare & issue letters as required such as Increment letter, Internal transfer letter, Termination/Resignation letter, warning letter & Long Service Award letters

Manage the distribution of invoices and memos.

Check employee’s documents, such as passports and Residence Permits, for expiry before every vacation and coordinate with the Immigration section if renewal needed.

Monitor the return of employees from vacations scheduled and report to the department head if there are any delays.

Handles payroll checking of employees.

Add new employees to the Payroll System whenever a new employee is recruited.

Maintain an updated Payroll Record of all employees’ details such as change in salary or allowances, absenteeism, sick leave, car loan or change in bank accounts.

Create final settlements when employees leave the company permanently.

Enter monthly overtime hours in the system for each employee.

Explain company personnel policies, benefits, and procedures to employees or job applicants.

Petty cash maintaining, Bank accounts details.

Process papers for RP/visa/passport/ID renewals

Disburse salary wages to site employees. Receive/send salary of other site employees

Medical/clinic claims summary as per co. rules reports and returns on time.

Keeping the site management informed & records updated.

Talent Acquisition/ Recruitment Tasks:

Assist admin manager in new recruitment, conduct CV screening, prepare candidate short list and arrange preliminary interviews and final interviews

Arrange interview process for new candidates.

Handle the full Recruitment Process

Searching candidates through job portals, database.

Follow up with the candidates till their joining

Prepare report of newly recruited candidate for taking necessary approval from Manager Recruitment

Responds to applicants’ inquiries both orally and in writing.

Coordinate in releasing the Job Advertisements in leader newspapers, jobsites and collate the cv’s and submit to the Recruitment Manager

Coordinate for overseas recruitment trips including visas, job orders, interview venue arrangement accommodation for the interview panel members etc.

Reviews employment files to verify minimum qualifications for position are met.

Operations/Administrative Tasks:

Arrange day to day transportation for the staff and site workers.

Manage /control company cars issued to the staff, arrange the issue of cars, repairs & maintenance, service, (Fuel) Cards, registration renewal etc.

Handle the All Types Transportations like, Buss, Cars, Pickup, Forklift, Telehandler and Cranes etc.

Arrange for re-training and re-certification of drivers, registration and re- certifications of vehicles.

Arrange the accommodation for all employees.

Maintain electronic and hard copy filing system

Assist in resolving any administrative problems
