WORK EXPERIENCE:

UNION BANK – June 2010 – March 2016

Executive Assistant supporting 3 Managing Directors/Vice Presidents - I support three Vice Presidents who oversee 47 branches. I work closely with all levels of employees including 47 branch managers, team members, and executive staff. I am responsible for collecting tracking from the 47 branches for numerous daily/monthly and on-going campaigns, compiling the information to a division level, compiling data for daily, weekly, monthly and quarterly reports, coordinating all monthly/quarterly meetings from beginning to end, creating and implementing campaign flyers and complex excel spreadsheets, and monthly recognition programs. I handle customer complaints at the VP or above level, and manage extremely busy Outlook calendar for three Directors. I work closely with the Division staff and Executives in the corporate office. I approve timecards, expense reports and invoices, receive and solve numerous issues for the staff at the 47 branches I support. I work independently as Directors are out in the field 95% of the time. I handle special projects as requested for the Division Market President.

AGUA CALIENTE BAND OF CAHUILLA INDIANS – March 2001 – July 2009

April 2005 to July 2009 – Executive Assistant to Chief Planning and Development Officer and Travel Resources Manager. As the Executive Assistant to the CPDO, my job was to represent this top level executive to the best of my ability, including managing his complex calendar and interacting with top level city officials and executives. I put together weekly Tribal Council Agendas and packets, produced important documents upon request, created and maintained lists and reports of Tribal-owned property with current lease information, and worked closely with the 5 directors who reported to the CPDO, as well as worked closely with the Tribal Council. In addition to this position, I formed a new position within the company as Travel Resource Manager, in charge of booking all travel for top level executives and the other 2,300 employees, including writing and implementing travel policies and procedures, negotiating vendor contracts, and compiling monthly reports of travel spend.

March 2001 – September 2004 – Team Member Events Coordinator (Human Resources). As the Team Member Events Coordinator, I planned all Team Member events for 2,000+ employees. Some of the events I planned included our annual Christmas party, Company picnic, Team Member and Supervisor of the month lunches and dinners, employee recognition programs, anniversary block party, Halloween costume contests, company softball leagues, golf tournaments, and more. I worked closely with the 8 Directors and the General Manager in planning the above functions. I also worked closely with the entire HR staff on resolving all HR issues regarding hiring, payroll, employee benefits and any other HR related problems. I input and maintained employee information including new hires, paid leave and wage information, and termination details. I was also involved in the daily procedures of Human Resources including assisting our Team Members when needed, answering questions and helping with HR related forms and procedures.

THE PACIFIC LUMBER COMPANY – January 1997 – February 2001

Human Resources Secretary – As the Human Resources Secretary, I worked for 6 people including the HR Director, the Personnel Manager, the Accident Prevent Director, both the Workers’ Comp. Manager and Assistant Manager, and the Director of Environment Services. I also worked closely with the on-site Certified Athletic Trainer transcribing all medical reports.

I worked closest with the Personnel Manager in the hiring process of new employees including the placement of classified advertisements, setting up interviews, scheduling pre-employment drug screens, physicals and new hire orientations, compiling personal data from the perspective employee and preparing their new hire packets as well as maintaining all personnel files. I prepared employee evaluations, did EDD benefit audits, and received confidential pre-employment, post-accident and random DOT drug screen results. I was also very involved in implementing the transfer from a manual system to a computerized system in the new hire procedures. I organized meetings, seminars, training classes and retirement parties involving executive management, superintendents, foremen, and employees. I also designed many of the interoffice forms used. I worked on many confidential projects involving the Vice President, the Director of HR, and our corporate office in Houston.

My biggest and most enjoyable task was completely organizing the Annual Children’s Christmas Party for 1,500 children where each employee’s child/children received a gift, including the donations of the remaining gifts to various organizations.

REDWOOD MEMORIAL HOSPITAL – August 1994 – December 1996

Medical Transcriptionist – I transcribed a variety of reports for an acute care hospital, including Radiology, History and Physicals, Consultations, Operations, Discharge Summaries, and Emergency Room visits. This included the daily prioritization of my work and interacting with the doctors and other hospital staff.

UCLA MEDICAL CENTER – January 1993 – August 1994

Medical Transcriptionist – While employed at UCLA, I transcribed a variety of reports for an acute care hospital including Radiology, History and Physicals, Consultations, Operations, Discharge Summaries, and Emergency Room Visits. This is where I received my training as a Medical Transcriptionist.

WESTERN TEMPORARY SERVICES – January 1991 – August 1994

I was originally hired as Regional Administrative Assistant and was later promoted to Branch Supervisor. My responsibilities included accounts payables and receivables, computerized and manual payroll, bookkeeping, employee benefits, Workers’ Comp., outside sales, telemarketing, filing sales orders, interviewing new applicants, customer service, and assisting the Regional Vice President in the day-to-day operations of 12 branch offices.

ANTI-DEFAMATION LEAGUE – August 1987 – January 1991

Secretary / Assistant – During my tenure with the League, I held the positions of Secretary/Assistant to the Western States Director, the Western States Fundraising Director and the Western States Counsel. My duties included assisting in the preparation of fundraising dinners, organizing various committee meetings, maintenance of division mailing lists, transcribing correspondence along with the final proof of my own work, answering phones, having direct contact with top executive lay leaders, law enforcement and media officials, along with accounts payables/receivables, and other accounting functions.

OFFICE MACHINES AND SOFTWARE: Proficient in all Microsoft Office Programs including Outlook, Word, Excel, Publisher and PowerPoint. Older programs include Windows 2000, IBM-PC with WordPerfect versions through 9.0, Smart, Wordstar, Write, Professional Write 2, First Publisher, Description Write, Lotus, and many other interoffice systems, as well as online applications.
