Document Specialist Supervisor - Balkans

Position consists of training two expats in the process of archiving and Procurement procedures. Traveling in-country around the Balkans to include Hungary, Macedonia, and Kosovo shipping archived records back to the Houston office for storage. Provided on hand instructions to departmental managers on the correct procedures for turning boxes in to the Document Control department for the purpose of archiving and storage. Maintained repertoire with the warehouse personnel for the process of receiving and paying for merchandise in a reasonable amount of time.

Document Control Manager

Position includes the distribution and copy of all documentation received from the fax to ensure a prompt response or action to crucial demands. Review the accountability system established to safeguard project Purchasing files. Reviews of the hard copy purchase order against POLOG to ensure accuracy of POLOG keypunch. Review and approve documentation provided by the different departments to archive boxes for storage. All in-country and local project information is directed to Document Control upon completion. Provide any requested information to the different departments upon request for review or audit purposes and maintain a check-out system for accountability of government records.

Procurement/Document Specialist January 2001 - April 2003

Position includes purchasing requested items from vendors for the purpose of supporting the client on the Balkans contract. Upon receipt of the requisition, identify potential sources, solicit bids, evaluate bids, obtain approvals, process and award the Procurement document. Support end-users as required.

Position also consists of retrieving any required documents from Houston and In-Country for subpoenas or audit purposes. Once retrieved, bar-coded, and copied the files are delivered to the respective agency and a copy is maintained here for the lawyers perusal. I also help in-country personnel with any problems that may arise. Such as proof of payments, copies pf purchase orders and calling vendors about invoicing.

Document Specialist Supervisor April 2003 - March 2009

Maintain the financial records coming in from theater. Oversee the copying and filing f payment vouchers in order to support client invoices. Maintain an up to the minute log of the client invoices. Pull journal voucher support from the mainframe and file in support of the client invoices. Archive all project documentation for the Houston support office. Hire theater personnel for the LOGCAP III project and travel in-country to train personnel on the archiving system and any other job duties pertaining tp the Document Specialist function.

Responsibilities include maintaining Procurement and Supply Management project documents. Prepare transmittals and distributes data as directed. Updates and maintains project document control record keeping system. Utilizes Documentum for electronic archiving and staging. Work with legal on audit requests and am proficient with research. I've implemented Document Control procedures for here and in theater. Under general direction, use specialized knowledge of skills to solve complex and unique problems. May direct resources, prioritize task, and provide guidance to less experienced team members. Relies upon experience, interpersonal skills, and broad knowledge of field to ensure task completion in compliance with policies and procedures.
